Role Description
As the first face our clients encounter, you set the tone for the entire VIV experience. We're looking for a polished, proactive Front Desk Coordinator who thrives in a fast-paced environment and genuinely loves connecting with people. This is a full-time, on-site position at our Victory Park clinic.
What You'll Do
- Welcome clients warmly in person and by phone, creating a five-star first impression every time
- Manage scheduling, appointment confirmations, and provider calendar coordination
- Process payments, memberships, and daily sales with accuracy
- Assist with inventory management, retail merchandising, and product knowledge
- Keep the front desk and reception area beautifully organized and inviting
- Support marketing initiatives, including events, client follow-ups, and social media content
- Communicate clearly and professionally with patients, providers, and the care team
What We're Looking For
- 1 year of experience in a front desk, hospitality, aesthetics, or medical spa setting preferred
- Exceptional communication and interpersonal skills — warmth and professionalism come naturally to you
- Comfortable with EMR platforms, scheduling software, and Google Workspace or Excel
- Highly organized and able to juggle multiple priorities without missing a beat
- Genuine passion for aesthetics, wellness, and delivering an outstanding client experience
- High school diploma or equivalent required
