What are the responsibilities and job description for the Surgical Coordinator position at Vitreo Retinal Consultants?
Job Summary: Act as liaison between patient & physician, schedule all ambulatory surgeries & procedures. Pre-certifies procedures with insurance companies. Counsels patients prior to surgery regarding financial responsibility.
Duties and Responsibilities:
- Schedule patient ambulatory surgical procedures & post-operative appointments
- Coordinate combined surgical cases with second surgeon’s office; confirming procedure codes, lens calculations and any other special circumstances to ensure the accurate scheduling of the case
- Answer surgical scheduling phone line in a pleasant, professional manner
- Verify patient demographic & insurance information for presentation to insurance carriers in order to obtain authorizations
- Coordinate and schedule all medical clearances based on diagnosis, cardiac, pulmonary &/or endocrine issues with PCP, Cardiologist &/or Endocrinologist
- Understand all medical requirements needed prior to surgery for adult & pediatric cases based on location of planned procedures
- Follow up on preoperative surgical paperwork to forward to the pre surgical testing department at hospital/surgical center
- Inform hospital/surgical center of any special surgical needs
- Interact with technical & nursing staff to ensure that all medical histories, medications & allergies are accurate based on patient confirmation
- Enter appointment information & scan related paperwork into EMR
- Review the next working day schedule
- Notify appropriate physician when adding on emergency case within a 24 hour period
- Coordinate physicians block schedule working with hospital/surgical center Nurse Manager
- Verify doctor/facility insurance participation prior to scheduling case
- Counsel patients pre-operatively regarding their potential financial obligation & collect pre-surgical coinsurance/copayments/deductibles
- Liaison to billing department regarding payment plans
- Post surgical charges on a daily basis per established guidelines
- Ensure there are no schedule conflicts
- Perform other related duties as assigned

- TRAVEL IS REQUIRED: Westbury, Rockville Centre, Great Neck, and Hauppauge
- Excellent customer relations
- Knowledge of EMR required
- Excellent written and oral communication skills
- Knowledge of third party billing required
- Medical office experience required
- Strong knowledge of coding a plus
- Flexibility to travel to different offices
