Job Description:

VITG is seeking a Recruitment & Office Coordinator to manage fullcycle recruitment and support daily office operations. This role will coordinate hiring activities, maintain records and systems, and ensure smooth office processes while supporting staff and employee onboarding. This is a fulltime, onsite role based in our Ellicott City, MD office, requiring the candidate to be in the office five days per week.


Applicant Requirements:

  • US citizen or authorized to work in the United States
  • Must have lived in the USA for three years
  • Must be able to pass a VITG background check and drug screening
  • Mus have 1–2 years of office management experience


Job Responsibilities:

Office Management

  • Oversee daily office operations and maintain an organized workspace.
  • Manage office supplies, inventory, and vendor relationships.
  • Coordinate office maintenance and facilities’ needs.
  • Handle office expense management, including tracking and reporting costs.


Administrative Support, Recordkeeping & Documentation

  • Provide administrative support to staff and management.
  • Schedule and coordinate meetings, travel, and appointments.
  • Prepare reports, presentations, and internal communications.
  • Serve as the primary office contact for staff and external partners.
  • Maintain accurate office records, files, and documentation.
  • Prepare and submit reports as needed for management review.


Recruitment Support

  • Manage full-cycle recruitment, including job postings, resume screening, and interview scheduling.
  • Maintain an organized recruitment database and track candidates.
  • Coordinate with hiring managers to identify staffing needs and develop job descriptions.
  • Conduct candidate outreach and build relationships with potential hires.
  • Support onboarding processes, including documentation, orientation, and employee setup.


Employee Engagement

  • Act as a liaison between HR and office staff, supporting employee engagement initiatives.
  • Ensure compliance with HR policies while maintaining smooth office administration.


Process Improvement & Coordination

  • Identify opportunities to streamline office workflows.
  • Assist in implementing office policies and standard operating procedures.
  • Coordinate with different teams to ensure smooth cross-functional operations.


Education:

  • Bachelor’s degree


Job Type: Full Time Employment


Salary: $52,000 per year
