Job Summary
We are seeking a reliable, qualified individual to join our company as a Document Control Specialist. As part of our team, you will oversee the storage, organization, and disbursal of records and documentation, both digital and paper documents, observing legal guidelines, relevant regulations, internal policies and best practices. You will respond to requests for Certifications and verify document completeness and format requirements. This position is important to smooth operations within our corporate infrastructure, and our ideal candidate has considerable professional experience in a similar role. You should also possess impeccable attention to detail and strong computer and data entry skills.
Duties and Responsibilities
- Reaching out to vendors to document qualifications and compliance.
- Obtaining and maintaining vendor W9’s and COI files.
- Assist in gathering Certificates of Analysis (COA) from all sources.
- Partner with individuals involved with inventory, quality, purchasing, R&D, and sales as necessary to document current practices and create the associated documents for training purposes.
- Work with vendors, and internally with quality and other members of the purchasing department, to ensure they are meeting internal Vitalpax requirements to be considered as an approved vendor.
- Control sensitive and restricted information, including regulated information.
- Verify completeness and accuracy of stored documentation, in particular for required specifications of certain materials.
- Assist in producing, reviewing, filing, and organizing files to allow all incoming ingredients and outgoing finished products to reach our customers in a timely manner.
- Respond to requests for information in a timely manner.
- Communicate effectively with various departments and stakeholders.
- Thorough understanding of relevant regulatory frameworks and agencies, as well as compliance best practices and company policies.
Requirements and Qualifications
- Prior experience with data and document management (Preferred)
- Computer proficiency and data entry skills, (Microsoft Word, Excel, Google Suites)
- Detail-oriented and organized mindset with the ability to handle multiple priorities while maintaining compliance
- The ability to learn regulatory standards and applications
- Able to work alone and/ or with a team

- High School or Equivalent (Required)
- Associate's degree or Equivalent (Preferred)
Experience:
