As the first point of contact, the Front Desk Coordinator sets the tone for every visit and plays a key role in our clients’ overall experience.
Position Summary:We are seeking a polished, friendly, and highly organized Front Desk Coordinator to join our team. This front-facing role is essential to creating a welcoming, calm, and professional environment. The ideal candidate is courteous, well-groomed, and customer-focused, with excellent communication skills and a genuine interest in the customer experience.
Key Responsibilities:
- Greet all patients and guests warmly upon arrival and provide a welcoming environment.
- Manage patient check-in and check-out process efficiently and professionally.
- Schedule and confirm patient appointments in-person, via phone, and email.
- Conduct appointment reminders to ensure a smooth patient flow.
- Answer phone calls promptly and knowledgeably.
- Respond to emails and inquiries in a timely and professional manner.
- Collect and process patient payments; manage basic billing tasks as needed.
- Organizes and files clinic and client documents under the directive of the Clinic Manager
- Maintain accurate appointment logs.
- Help to ensure the front desk and lobby area are clean, calm, and inviting at all times.
- Communicate clearly and effectively with team members.
- Uphold patient confidentiality and comply with all HIPAA regulations.
- This role operates in a clinical office setting, requiring frequent standing, walking, and reaching.
Qualifications:
- 2 years of experience in a medical or wellness office (preferred).
- Excellent verbal and written communication skills.
- Strong customer service orientation with a friendly, professional demeanor.
- Proficient with scheduling software and basic office technology.
- Ability to multitask, prioritize tasks, and manage time effectively.
- Reliable, punctual, and able to maintain a positive attitude under pressure.
- Well-groomed appearance and professional presentation.
- High school diploma or equivalent required; additional training in office administration is a plus.
- Must be able to accomplish any and all duties with little to no assistance
Schedule:
- 8 hour shift
- Weekend Day shift with possibility to add weekdays in the near future.
- Saturday & Sunday, 8:30am-5:30pm.
