Vitality Chiropractic, located in Des Moines, WA, is seeking a part-time Administrative Assistant to provide support and run an efficient, organized office. This position pays a competitive wage between $22 - $26 an hour (depending on experience and qualifications).

In this administrative assistant position, you manage the office by arranging and coordinating general operations to ensure efficiency. The administrative support you provide as the Office Administrator is essential to providing the best possible care for our patients.
In the role, you will:
· Be the liaison between the office and outside entities
· Answer phone calls and emails
· Handle many aspects of patient care – greet patients, schedule appointments and care plans, collect payments, and participate in patient exams by taking vitals and collecting patient paperwork.
· Generate reports and invoices
· Effectively and efficiently communicate with the HIPAA and OIG compliance officer with any questions regarding billing concerns, issues, or errors
To maintain patient confidentiality, you will comply with HIPAA and OIG laws and regulations. You will stay up to date on the ever-changing world of insurance billing and clearly explain benefit information and other financial obligations to patients.
ESSENTIAL QUALIFICATIONS:
Primary: Be willing and able to support the philosophy of chiropractic and treat all patients in a caring and compassionate manner.
Education: Associate Degree required. Bachelor’s Degree preferred. (High School Diploma plus at least 3 years’ experience working in a chiropractic office may be substituted for a higher education degree on a case-by-case basis)
Experience: At least 2 years of prior customer service and/or administrative experience required.
- Prior experience in a chiropractic office is preferred.
- Excellent proofreading, writing, and word processing skills, and Desktop publishing skills.
- Proficient in Microsoft tools (particularly Excel, Word, Publisher, and Outlook)
- Demonstrated problem-solving and critical thinking skills.
- Experience with appointment setting and/or medical billing software(s) is a plus.
- Knowledge of ICD-10 codes and CPT codes is a plus.
- Other Elements: Very strong interpersonal and organizational skills.
- Ability to work independently and take charge of a variety of stressful situations.
- Ability to complete multiple projects within established deadlines.
- Ability to maintain confidentiality of information.
- Ability to use judgment in non-routine matters.
- Willingness and desire to seek out additional training and to constantly stay “ahead of the curve” in this ever-changing world of insurance billing.
WORK SCHEDULE
This is a part-time position that will be shared with the current office manager. The schedule will be determined based on availability, with an expected workload of approximately 18–22 hours per week.
Full-time office hours are Monday through Friday, with flexibility on Tuesday mornings and Fridays.
Office hours are as follows:
- Monday, Wednesday, Thursday: 8:45 AM – 6:00 PM
- Tuesday: 12:00 PM – 6:00 PM
Fridays are not scheduled for patient appointments; however, the day is dedicated to administrative tasks to ensure the office runs smoothly throughout the week.
PAY
$22 - $26 per hour, depending on experience and qualifications.
