Veterinary Client Service Representative (CSR)

Vital Vet Animal Hospital is looking for a warm, organized, and dependable Client Service Representative to join our team. Our CSRs help create a positive experience from the first phone call through the final checkout, supporting pet owners while keeping the hospital’s day running smoothly.

• Welcome clients and patients with warmth and professionalism
• Answer phones, respond to messages, and schedule appointments
• Help clients understand hospital policies, services, and next steps
• Check patients in and out accurately and efficiently
• Process payments and review invoices with clients
• Maintain accurate client and patient information
• Coordinate communication between clients and the medical team
• Respond calmly and compassionately when clients are worried, frustrated, or grieving
• Keep the reception area organized, welcoming, and ready for the day
• Support teammates and adapt as hospital needs change

• Communicate clearly and confidently in person, by phone, and in writing
• Can balance empathy with healthy professional boundaries
• Stay organized while managing multiple priorities and interruptions
• Pay close attention to details
• Are comfortable discussing costs and collecting payment
• Remain steady during emotionally difficult situations
• Take responsibility, accept feedback, and follow through
• Enjoy collaborating with a veterinary team
• Are comfortable learning cloud-based practice-management software
• Understand that clients are our allies in caring for their pets

Previous veterinary or medical reception experience is preferred, but we welcome candidates with strong customer-service skills and a genuine interest in veterinary medicine. Experience with Fear Free practices is a plus.

Veterinary client service is meaningful, fast-paced, and sometimes emotionally challenging. This position involves frequent phone and computer use, communication with people experiencing stress or grief, and occasional exposure to animal-related sights, sounds, and odors.

• Employment type: Full time 30-40hrs/week
• Schedule: Afternoon and Evening shifts, Saturdays required
• Compensation: Varies based on experience and credentials- $18.50-$22
