At Visiting Angels, we're not looking for someone who simply fills shifts.
We're looking for a Scheduling Coordinator who can take ownership of the schedule, anticipate challenges before they arise, and consistently execute at a high level. This role is critical to the daily success of our operation and requires someone who can thrive in a fast-paced environment while balancing the needs of clients, caregivers, and the office team.
The Scheduling Coordinator serves as a central point of communication and coordination for the agency. Success in this role requires strong decision-making skills, exceptional organization, a sense of urgency, and the ability to remain calm when priorities shift throughout the day.

This is not an entry-level scheduling position. We are seeking a scheduling professional who can confidently manage a high-volume caseload, navigate last-minute changes, and help ensure our clients receive the exceptional care they deserve.
What You'll Be Doing
- Manage and coordinate caregiver schedules for a growing private-pay home care agency
- Proactively identify scheduling gaps and staffing challenges
- Handle call-offs, schedule changes, emergencies, and shift coverage with urgency and professionalism
- Build strong working relationships with caregivers to improve engagement, communication, and shift fulfillment
- Communicate regularly with clients, families, and caregivers regarding schedules and care needs
- Support caregivers by ensuring they understand client schedules, care plans, and expectations
- Confirm caregiver hours for payroll processing
- Confirm client schedules for billing and invoicing accuracy
- Maintain accurate documentation and scheduling records
- Assist with resolving client and caregiver concerns
- Work closely with the Operations Manager and office team to support daily operations
- Participate in an after-hours on-call rotation

Strongly Preferred
- Home care scheduling experience
- Home health, hospice, healthcare staffing, or senior care scheduling experience
- Experience managing caregiver schedules across multiple clients
- Experience with scheduling software such as AxisCare or similar platforms
Home care scheduling experience is strongly preferred, as this role requires the ability to manage complex schedules in a fast-paced environment.
