POSITION PURPOSE: Own the full-cycle recruiting pipeline—sourcing, screening, interviewing, hiring, and onboarding—to meet weekly caregiver staffing demand and sustain reliable client coverage. Support retention through structured follow-ups, recognition, and feedback loops that raise 90-day and 12-month retention while reinforcing culture and service quality.
Coordinator reports directly to: Office Director.
CLASSIFICATION: Salaried Non-Exempt
PRINCIPAL ACCOUNTABILITIES AND ESSENTIAL FUNCTIONS:
Primary Responsibilities (Recruiting, Interviewing, Hiring, Onboarding)
· Workforce Planning: partner with operations to define caregiver profiles, staffing forecasts, and prioritize job requisitions; maintain an organized candidate pipeline in the applicant tracking system.
· Sourcing: run multi-channel sourcing (job boards, referrals, social media, community partners); manage caregiver referral incentives and track ROI.
· Screening & Interviewing: conduct structured phone screens and in-person interviews, assess core competencies, document evaluations, and advance/decline promptly.
· Selection & Compliance: prepare offers; ensure complete hiring packets; follow recruitment and selection policies; verify credentials/eligibility consistent with company policy and Texas HHS rules.
· Orientation & Onboarding: schedule and facilitate orientation; coordinate required trainings; confirm first-shift readiness and system access.
· 0–90 day Ramp: execute first shift, first week, first month check-ins; capture training needs; hand off to supervisors for ongoing coaching. Schedule evaluation after 90 days.
Secondary Responsibilities (Retention, Follow-Up, Recognition, Reporting)
· Retention Programs: design and run engagement, education, mentoring, recognition, and anniversary/holiday initiatives; maintain an annual caregiver calendar.
· Field Feedback Loop: collect supervisory-visit feedback; address issues, document coaching, and coordinate corrective actions when needed.
· Performance Reviews: help track due dates and inputs so supervisors deliver timely evaluations that recognize strengths and address gaps.
· Compensation/Benefits Insights: conduct periodic wage/benefit scans; recommend adjustments and incentive structures; track impact on hiring/retention.
· Employer Brand: maintain careers pages and social posts; leverage testimonials and caregiver stories while adhering to brand standards.
· Reporting & KPIs: publish monthly dashboards (source performance, time-to-fill, offer-accept, 90-day retention, turnover, client demand vs. caregiver supply).
· Cross-Team Cadence: participate in weekly team meetings; re-prioritize openings; surface barriers and propose fixes.
· Professional Standards: uphold confidentiality, attendance, and time-management expectations; follow policies and maintain a service-oriented, professional demeanor.
· On Call: after-hours scheduling one week per month. Pay in addition to salary.
REQUIRED JOB KNOWLEDGE AND SKILLS:
· Bachelor’s in Business, Communications, HR, or comparable experience preferred; home-care or healthcare recruiting experience preferred.
· Proficiency with Microsoft Office (Word, Excel, PowerPoint and Outlook) applications, scheduling systems and other healthcare industry-related software.
· Valid Texas driver’s license, reliable transportation, and state-required proof of auto insurance.
· Able to lift, push, or pull up to 10 pounds. Frequently sit, stand, and walk. Occasionally bend, stoop, or reach. Must be able to climb stairs when needed.
