What are the responsibilities and job description for the Executive Assistant to COO position at Visit Tampa Bay?

Visit Tampa Bay, the economic driver of tourism in Hillsborough County, is currently seeking an energetic Executive Assistant to work directly with the COO to operate an inclusive, innovative, and efficient organization.

Responsibilities

  • Schedule appointments, meetings, travel arrangements for the COO
  • Prepare monthly and quarterly accountability reports
  • Prepare Board of Directors and Advisory Board presentations
  • Prepare monthly expense report for the COO
  • Extensive business writing and editing
  • Manage and assist the front desk coordinator
  • Assist with managing business insurance policies
  • Coordinate interdepartmental projects directed by the COO, ensuring timely execution and responses
  • Perform data entry for expense reports, accounts receivable, and accounts payable

Education Experience and Qualifications

  • Must possess a bachelor’s degree from an accredited college or university
  • Proficiency in Microsoft 365 and Google Workspace
  • Must be an excellent communicator across all platforms
  • Ability to establish priorities and meet deadlines effectively and efficiently
  • Must possess a high degree of accuracy
  • Strong organizational skills 
  • Must reside in the Tampa Bay area
