Summary
Visit Minot is seeking an Office Administrator to join our team and help plan, structure, organize, and monitor the many activities happening within our office. This invaluable role supports all departments and serves as the central hub of our organization, where strong organization and communication skills are key. Ideal candidates will be familiar with standard office practices and software, enjoy providing excellent customer service and a fast-paced environment, excel in time management, and demonstrate clear, effective communication.
This position is responsible for maintaining office services by organizing operations and procedures, preparing payroll, managing correspondence, designing and maintaining filing systems, purchasing supplies, overseeing gift shop inventory, and performing a wide range of clerical tasks. The Office Administrator is also the first point of contact for the public and helps build positive relationships through phone, email, and in-person interactions. Ability to efficiently use Outlook, Word, and Excel is required.
This is a full-time position with benefits (health, dental vision) and paid time off, 32–38 hours per week, Monday through Friday, with occasional Saturdays (no more than five per year), and reports directly to the Executive Director.
Duties & Responsibilities
· Greets all visitors via telephone and in-person upon entering or calling the Visitors Center.
· Clerical duties – working with the accounting firm, tracking accounts payable and receivable.
- Ensures all informational tourism materials are ordered, in stock, and on display.
· Coordinates the staff, inventory, training, and overall operation of the gift shop.
· Responsible for researching and ordering items for the gift shop and office.
· Assists Directors with coordination of event services.
· Maintains calendar of events.
· Supporting the function of the office and performing other duties as assigned.
Able to lift 40lbs.
Qualifications Required
· A minimum of two (2) years of relevant work experience in office work, and additional retail experience is preferred.
· Excellent communications skills and enjoys customer service.
· Ability to multi-task.
· Working knowledge of Microsoft Excel, Outlook, and Word.
· Detail-oriented
