Position Summary

The Office Manager plays a pivotal role in ensuring the smooth, efficient, and professional operation of Visit Alexandria’s office and administrative functions. This position serves as both a strategic organizer and hands-on executor—balancing project management, team support, and operational oversight to keep the organization running at its highest level of productivity.


Our administrative roles are service roles—we are here to serve our team. The Office Manager provides resources, systems, and solutions that help every team member succeed. This person anticipates needs, follows through with precision, and proactively ensures the team has the tools, information, and environment necessary to deliver excellence.

Essential Duties and ResponsibilitiesOffice & Administrative Leadership

·        Oversee day-to-day office operations, ensuring a professional, efficient, and positive work environment.

·        Serve as the central point of coordination for all administrative and operational needs across departments.

·        Manage relationships with vendors and partners including payroll provider, 401K administrator, IT firm, accountant, and landlord.

·        Oversee workspace organization, supplies, and office technology to maximize efficiency and comfort.

·        Lead or support internal project management initiatives, ensuring timelines, deliverables, and communication flow smoothly.

Human Resources & Organizational Support

·        Manage onboarding and offboarding processes for all employees with professionalism and attention to detail.

·        Administer payroll and benefits, including medical, dental, retirement, and commuter programs.

·        Maintain accurate and confidential HR documentation.

·        Serve as an employee resource for HR questions, benefits, and system navigation.

Finance Administration

·        Process accounts payable and receivable, generate invoices, and ensure timely reconciliations.

·        Support SVP, Operations & Finance with audits, reporting, and compliance.

·        Manage company credit card reporting, coding, and expense reimbursements.

·        File monthly sales tax returns and assist with financial recordkeeping.

Governance & Executive Support

·        Coordinate all logistics and materials for Board of Governors and Executive Committee meetings.

·        Manage correspondence, prepare minutes, and assist with reports and presentations for the leadership team

·        Liaise with City Clerk’s office and other official partners to ensure transparency and accuracy in records and reporting.

Events & Team Engagement

·        Support the planning and execution of organization-wide events including the Annual Meeting, Boat Parade, Scottish Walk, and member programming.

·        Provide administrative and A/V support for in-person and virtual meetings.

·        Plans and coordinates internal team events – team building, holiday events, quarterly outings

Team Administration

·        Support Sales and Membership teams with administrative needs including data entry into CRM, collateral assembly, and research support.

·        Prepare and package sales materials and assist with lead tracking and reporting.

·        Coordinate logistics for meetings, site visits, and hospitality-related projects as needed.

·        Ensure seamless internal communication and coordination between departments.

Qualifications

·        Proven experience in administrative management, office operations, or executive support.

·        Highly organized, proactive, and able to balance multiple priorities in a fast-paced environment.

·        Strong project management skills with the ability to see initiatives through from start to finish.

·        Service-oriented mindset with a passion for supporting others and creating operational excellence.

·        Exceptional communication and interpersonal skills; professional and positive demeanor.

·        Proficiency in Microsoft 365 Suite, CRM platforms, QuickBooks, and payroll/benefits platforms.

·        System-oriented thinker who can implement and refine efficient administrative processes.

·        Hospitality-driven approach—committed to professionalism, warmth, and team collaboration.

·        Familiarity with Alexandria and its business community a plus.

 

Compensation and Work Environment  

·        Salary $73,000 to start

·        Full insurance package including health, dental, vision and disability  

·        401(k) match up to 12% after one year  

·        12 days paid vacation in Year One, increasing to 17 days in Years Two to Five, and 22 days in Years Six and beyond  

·        14 ½ paid holidays  

·        Up to 12 days of paid sick leave per year  

·        Paid parental leave  

·        Paid parking or equivalent Metro public transit benefit  

·        Office is Metro accessible (King St-Old Town)  

·        Monthly reimbursement toward mobile phone bill  

·        Modern office facilities include private offices with access to adjacent co-working space, bike room, shower, game room and roof deck  

·        Hybrid work model, with in-office work expected on Tuesdays, Wednesdays and Thursdays, and remote most Mondays and Fridays.
