The Operations Coordinator supports the Operations Manager and House Managers of Residential Treatment Facilities for adolescents in the day-to-day operations of Visions Treatment Centers' programs. This position provides operational, administrative, staffing, facility, and compliance support to ensure safe, efficient, and regulatory-compliant program operations. The Operations Coordinator assists with staff scheduling, training coordination, facility readiness, regulatory documentation, and residential operations while serving as a resource to Program Aides and providing direct support during staffing or operational needs. This role requires exceptional organization, initiative, adaptability, attention to detail, and a commitment to maintaining the highest standards of client care, safety, and operational excellence.
ROLE AND RESPONSIBILITIES:
- Support the Operations Manager and House Managers with the daily operations of all facilities.
- Program Aide scheduling, staffing coverage, shift changes, and monitoring attendance with supervisor oversight.
- Coordinate new hire onboarding, orientation, mandatory trainings, and ongoing staff training requirements.
- Track employee certifications, training completion, and compliance with regulatory requirements.
- Assist with preparation for Community Care Licensing (CCL), DHCS, and Joint Commission surveys, audits, and compliance activities.
- Maintain operational documentation, training records, incident tracking, and other regulatory requirements.
- Monitor facility conditions, identify maintenance or safety concerns, coordinate repairs, and maintain appropriate inventories of operational supplies.
- Coordinate with vendors, contractors, and outside service providers as needed.
- Provide direct operational support by serving as a backup Program Aide when necessary to maintain safe staffing and quality client care.
- Support House Managers with operational projects, audits, client appointments, fire and disaster drills, and other facility initiatives.
- Assist with medication-related workflows, laboratory coordination, and other operational processes as assigned.
- Promote a safe, therapeutic, and organized residential environment while modeling professionalism, accountability, and teamwork.
- Participate in the on-call rotation and respond to urgent staffing or operational needs as assigned.
- Answer phones promptly, communicate effectively with staff and outside partners, and ensure timely follow-up on operational matters.
- Some weekends and on-call rotation required.
- Perform other duties as assigned.
QUALIFICATIONS
- Experience: Minimum of 5 years in a behavioral health/residential treatment role.
- Education: High school diploma; Associate degree or relevant coursework preferred.
- Skills: Highly adaptable, organized, and calm under pressure. Excellent problem-solving and communication skills. Reliable, punctual, and detail-oriented. Capable of hands-on tasks (e.g., lifting, minor repairs, food prep). Team-oriented with the ability to work independently. Willingness to work flexible hours and provide cross-departmental support.
WORK ENVIRONMENT:This position operates in a dynamic residential treatment setting, requiring frequent movement between facilities and interaction with clients, staff, and external vendors. The role involves both desk-based administrative tasks and hands-on responsibilities, including physical labor. The Coordinator may be exposed to emotionally charged situations and must remain calm and professional under pressure. Flexibility is essential, as responsibilities can shift based on facility needs, staffing coverage, and emergency situations.
