Customer Service and Billing Representative

Visionary Optics is based in Oak Brook, IL, with offices in Front Royal, VA.

Position Description

Supports the day-to-day activities of customer accounts with a focus on billing and accounts receivable. This includes resolving customer inquiries, tracking customers returns and payment, and assisting with collections. The ideal candidate will have a strong attention to detail, excellent communication skills, collaborative spirit, and a passion for providing exceptional customer service.

Essential Functions

• Respond to customer inquiries via phone, email, and other communication channels.
• Review customer accounts to ensure accuracy of billing and resolve any discrepancies
• Process payments and credit memos, and track customer payments to ensure timely and accurate collection
• Collaborate with other departments to resolve customer-related issues
• Monitor and report on accounts receivable to ensure timely payment and minimize delinquencies
• Manage and maintain customers records throughout different software platforms and ensure they are up-to-date and accurate
• Contribute to interdepartmental responsibilities including return processing and ecommerce shipping and inventory management
• Provide exceptional customer service to ensure customer satisfaction and loyalty

Qualifications

• A minimum of an associate’s degree or training in accounting and billing
• 1-2 years of experience in billing and accounts receivable, or a similar role
• Computer skills, including Microsoft Suite (particularly Outlook, Word, Excel), billing software and customer relationship management (CRM) systems preferred
• Exceptional organizational and time management skills including the ability to handle multiple assignments and prioritize work.
