Job Title: Receptionist
Position Overview:
The Receptionist will serve as the front-facing administrative professional while also supporting internal coordination efforts related to employee onboarding and offboarding. This role includes limited, structured support to the Information Technology (IT) function under the direction and supervision of Human Resources (HR) and the Head of IT.
Key Responsibilities:
- Serve as the primary point of contact at the front desk, providing professional and welcoming service to all visitors, staff, and callers.
- Coordinate onboarding logistics for new hires in collaboration with HR and the Head of IT, ensuring timely preparation of workspace access and equipment.
- Act as a liaison between HR, the Head of IT, third-party IT vendors, and department managers to align new employees with appropriate system access, credentials, and devices based on their role.
- Work directly with designated third-party IT vendors and the Head of IT to submit onboarding and offboarding requests, track progress, and confirm completion of assigned tasks.
- Assist in the offboarding process by coordinating the return of company-issued equipment and confirming deactivation of system access, as directed by HR and the Head of IT.
- Maintain onboarding and offboarding checklists to ensure all required steps are completed accurately and efficiently.
- Track and communicate onboarding/offboarding status updates to HR, the Head of IT, and vendors to ensure alignment and accountability.
- Schedule and coordinate device distribution and return (e.g., laptops, phones, key fobs) for new and departing employees.
- Ensure proper documentation and recordkeeping of equipment assignments, returns, and vendor communications.
- Escalate any discrepancies, delays, or access issues to HR, the Head of IT, or the appropriate vendor for resolution.
- Maintain strict confidentiality of employee information and organizational systems at all times.
- Manage and maintain the front entrance area to ensure a clean, organized, and welcoming environment
- Answer the corporate phone line, direct calls appropriately, and voicemails to the correct parties
- Distribute incoming mail and coordinate outgoing mail and deliveries
- Perform administrative tasks including copying, filing, and scanning documents
- Provide accurate information and direct the public to appropriate contacts within the company
- Coordinate and manage calendars, appointments, and meeting schedules
- Maintain organization and cleanliness of the storage room
- Monitor and replenish inventory of office and breakroom supplies
- Assist with additional administrative duties as assigned
Important Role Clarifications:
- The Receptionist will not receive or have access to administrative credentials or privileged system controls.
- The Receptionist will not perform technical IT functions, system configuration, or account provisioning.
- This role functions strictly as a coordinator and facilitator, working directly with third-party IT vendors and the Head of IT to ensure onboarding and offboarding processes are executed accurately and timely.

Education:
- High school diploma or equivalent required AND
- At least two (2) years of experience in office setting.

- Google Apps products (email, calendar, docs, etc.)
- Knowledge of Yardi Property Management Software a plus
Work Environment:
This position operates in a professional office setting and requires consistent interaction with staff, clients, and the public.
Pay: $20.00 - $22.00 per hour
