Job Summary
Visionary Billing Solutions is seeking a highly organized, proactive, and professional Executive Assistant to provide comprehensive support to our executive leadership team. The ideal candidate will possess exceptional organizational, communication, and time management skills, with the ability to manage multiple priorities in a fast-paced healthcare environment. This position plays a critical role in supporting executive operations, coordinating business activities, maintaining confidential information, and ensuring the efficient day-to-day functioning of the organization.
Responsabilities
- Provide high-level administrative support to executive leadership, including managing schedules, communications, and daily priorities.
- Coordinate and maintain complex executive calendars, appointments, meetings, and travel arrangements.
- Serve as the primary point of contact between executives, employees, clients, healthcare providers, and business partners.
- Prepare, proofread, and distribute correspondence, reports, presentations, meeting agendas, and other business documents.
- Organize and coordinate executive meetings, leadership conferences, staff events, and company functions.
- Track projects, deadlines, and action items to ensure timely completion and follow-up.
- Maintain confidential records, contracts, and company documentation with a high level of discretion and professionalism.
- Assist with operational and administrative initiatives that support the company's healthcare billing and revenue cycle management services.
- Manage filing systems, databases, and digital records to ensure accuracy, compliance, and accessibility.
- Screen phone calls, emails, and inquiries, directing communications appropriately and responding when necessary.
- Coordinate office operations, vendor communications, and administrative workflows to support organizational efficiency.
- Compile data and prepare executive reports, summaries, and presentations for leadership review.
- Support special projects and strategic initiatives as assigned by executive leadership.
- Handle sensitive information in compliance with company policies and applicable healthcare privacy standards.
- Identify opportunities to improve administrative processes and increase operational effectiveness.
Skills
- Proven experience as an Executive Assistant, Senior Administrative Assistant, or related administrative support role.
- Exceptional organizational and multitasking abilities in a fast-paced environment.
- Strong calendar management and scheduling experience.
- Excellent written and verbal communication skills.
- Advanced proficiency with Microsoft Office Suite, Google Workspace, and business software applications.
- Strong attention to detail and accuracy in data entry, reporting, and document preparation.
- Professional demeanor with the ability to interact confidently with executives, clients, and colleagues.
- Ability to maintain strict confidentiality and exercise sound judgment.
- Excellent problem-solving and time management skills.
- Experience supporting leadership teams and managing executive priorities.
- Ability to work independently while maintaining a collaborative team-oriented approach.
Pay: $45,000.00 - $55,000.00 per year
