We have an immediate opening for a Front Desk Receptionist & Administrative Assistant to be the welcoming face and voice of our amazing practice! Because we specialize in treating individuals with brain injuries, autism, and other special needs, it is crucial that our ideal candidate is incredibly personable, loves children, and possesses a deep well of patience and empathy.

What You’ll Be Doing:
As our Receptionist, you are a crucial part of our customer-forward team. You will report directly to the Operations Manager and ensure that every patient, visitor, and caller receives a spectacular first impression.
· Open the Office: Punctually arrive to open the office daily, ensuring the clinic is fully prepped and ready for our 8:00 AM appointments.
· Be the Ultimate Host: Promptly, warmly, and professionally greet all incoming patients, visitors, and phone callers. Ensure practitioners are notified of patient arrivals in a timely manner.
· Coordinate Patient Care: Work closely with Patient Care Coordinators to ensure scheduled appointments are confirmed. Make proactive outbound calls to patients,
obtain medical records from other providers, and seamlessly provide patients with any documentation they might need.
· Nourish Referral Relationships: Make outbound calls to communicate with our vital network of referral sources, which are the lifeblood of our practice and drive the vast majority of our clinic's growth.
· Therapy Preparation: Assemble home vision therapy kits to ensure our patients have the physical tools they need to succeed outside the clinic.
· Billing & Administration: Assist with essential office billing tasks, document production, and special office projects to facilitate operational needs.
· Meeting Coordination: Prepare materials, documents, and the environment for our weekly staff meetings.
· Assist with Marketing: Help our practice expand its reach by assisting the team with exciting office marketing initiatives and outreach projects!
· Maintain the Environment: Keep the reception lobby neat, professional, and accessible. Ensure the staff kitchen remains tidy and well-stocked throughout the day.
· Act as the Communication Hub: Track the on-site and off-site status of team members so you can accurately route information and handle immediate client needs.
· Support the Team: Champion best practices alongside the Operations Manager and step in to support other staff members during absences or times of critical need.
What We Are Looking For:
· Experience: A minimum of 3 years of administrative employment.
· Customer Service: Experience handling incoming calls in a fast-paced customer service environment.
· Communication: Exceptional verbal and written communication skills, paired with great active listening.
· Organization: Stellar organizational skills with a keen eye for capturing details and executing follow-ups.
· Tech-Savvy: Demonstrated experience using Microsoft Teams and the Microsoft Office Suite (Outlook, Excel, and Word), along with handling professional documents.
· Team Player: High level of situational awareness and professionalism when interacting with fellow team members.
· Bonus Points: Previous medical industry experience is highly preferred, but not required!
