OFFICE ASSISTANT
Job Description and Duties
The Office Assistant will assist in the coordination of specific aspects of data collection, record keeping, and other administrative tasks that support the advancement of the Virginia Voice mission.
These duties will fall under the general category of administrative support and include specific projects and daily recordkeeping tasks plus monitoring and ordering office supplies and technology equipment to support program delivery. Duties will include organizing information to support financial reports and tracking contributions and other data that surveil the financial health of the organization. Working with and maintaining data on Virginia Voice listeners and assigning and tracking the return of the equipment used to facilitate service for them will be included in the daily tasks that are performed in this position. Maintaining volunteer hours and part-time staff hours may also be required.
The Office Assistant will be the first point of contact for internal and external office communications, which may impact some customer service and the coordination of projects that support the daily work done in the office. The Office Assistant will take the lead on managing the CRM and ensuring that all data is updated and maintained in an accurate and timely fashion. The Office Assistant will also provide pivotal support for all communications with donors, volunteers, and listeners.
The Office Assistant must be organized, detail-oriented, and able to work independently once fully trained. The successful candidate must have excellent communication skills, possess leadership skills, work easily with a team, and be comfortable working with diversity and multi-disciplinary teams, including people with disabilities. The Office Assistant will provide administrative support as needed by the CEO.
Minimum Qualifications
- Two to five years of experience working in administrative support, customer relations, data and record keeping, and creating and monitoring an office budget and financial documents.
· Strong written and verbal communication skills to produce reports, assign tasks, accept instructions, and handle vendor contracts, among other tasks
· Organizational skills and the ability to multitask to complete a wide variety of tasks
· Flexibility to help them adjust to new tasks should the company or office need change
· Strong interpersonal skills to interact positively with employees, listeners, volunteers, and donors
· Leadership ability to manage challenges and projects
· Attention to detail to ensure tasks are completed thoroughly and correctly
· Knowledge of and commitment to personal growth and development on issues of living with the loss of vision and other disabilities
· Experience working with technology platforms including Microsoft Office, PowerPoint, and other in-house technology platforms customized for volunteer management and audio services. Experience working with a CRM or other tools to maintain accurate data.
