What are the responsibilities and job description for the VIR Logistics Manager position at Virginia International Raceway?
Description
Responsibilities:
- Set up and maintain yearly track calendars in Google and Word formats.
- Keep Google calendar updated in real time and send out the Word version on a monthly basis.
- Post information on track calendar linked to VIR website and viewable to public (web addresses, flyers, etc.)
- Serve as back up to Post Exhibit B’s, Track Contracts, COI, Waivers, Track Renter Schedules, invoices, etc to calendar entries for internal use.
- Maintain an electronic and physical filing system for each individual Renter
- Maintain and keep current all track related documents.
- Maintain spreadsheet of all track rental documents sent and record progress:
- Signed contract
- Sales Order
- Deposit
- Exhibit B
- COI
- Notes
- Send out reminders on deposits, Exhibit B’s and COI’s for past due date Renters.
- Act as back up POC for track access request for Lunch Time Laps, scheduling and Renter’s request
- Responsible for approving issued COI’s
- Oversee the scheduling for the F&C department
- Maintain F&C uniform inventory
- Maintain F&C radio inventory
- Serve as F&C manager in the Directors absence
Requirements
- Needs to be able to work multiple weekends throughout the season for Spectator Events and to serve in the rotation for Weekend Manager.
- Work day schedule consists of four days a week at 10 hours per day.
- Advanced proficiency in commonly used software programs (microsoft word, excel, etc.)
- Excellent time management skills; proven ability to meet deadlines.
- Attention to details is an absolute must
- Strong communication skills and the ability to handle an annual track schedule calendar and the ability to execute all track renter contracts in a timely fashion.
- Background check and drug test required.
- Position reports directly to the Logistics and F&C Director.
