What are the responsibilities and job description for the Fund Development Coordinator position at Virginia Health Care Foundation?
A little bit about us…
The Virginia Health Care Foundation (VHCF) is a public/private partnership initiated by the General Assembly and its Joint Commission on Health Care. Its mission is to increase access to primary health care for uninsured and medically underserved Virginians. During its 34 years of service, VHCF’s nimble approach and results-oriented initiatives have enabled more than 950,000 Virginians to obtain needed health care.
As a public/private partnership, VHCF is expected to raise dollars from the private sector to match its state appropriation. This role will be central in supporting the Foundation’s grants and programs funded by both public and private dollars.
A little bit about the role…
The Fund Development Coordinator is a detail-oriented, execution-focused role responsible for the day-to-day operations of VHCF's fund development activities. This position owns the data, deadlines, donor communications, and administrative systems that keep the Foundation's fundraising running smoothly. The ideal candidate brings 3-5 years of experience in a fund development support role and is energized by the behind-the-scenes work that makes donor relationships and communicating organizational outcomes possible.
This position reports to VHCF senior leadership and works closely with the Chief Executive Officer, program staff, and the organization’s broader network of funders and constituents. Approximately 75-80% of time will be devoted to fund development, with remaining time supporting grants reporting and cross-team coordination.
The Fund Development Coordinator will be responsible for:
Donor Database & Customer Relationship Management (CRM) System:
- Serving as the primary steward and subject matter expert for VHCF's donor database (Bloomerang)
- Entering gifts and transactions accurately, including noting any restrictions or special directions
- Building and pulling reports from the CRM to support fundraising strategy, relationship management, and internal updates
- Identifying opportunities to maximize Bloomerang's functionality to strengthen stakeholder and donor engagement, develop procedures, and train staff on best practices
Grants Calendar & Reporting:
- Owning and managing VHCF's grants calendar, tracking deadlines for both public and private funder reporting requirements
- Coordinating with program staff to gather outcome data needed for grant reports, ensuring accurate and timely submission
- Drafting routine grant reports and funder correspondence, drawing on recurring data and established templates
- Coordinating the management of the Neighborhood Assistance Program (NAP) and Commonwealth of Virginia Campaign (CVC), including associated documentation and reporting
Donor Stewardship & Communications:
- Maintaining and developing ongoing donor correspondence, including acknowledgements, impact updates, and annual communications to the General Assembly and other key stakeholders
- Assisting in preparing personalized legislative impact reports and district-level outreach, with persistence in follow-up across multiple communication channels
- Supporting the annual Trustee/Advisor Campaign and other constituent outreach efforts
- Assisting with donor-facing communications and organizational mailings as needed; potential to support social media coordination
- Supporting the preparation of materials for the VHCF Board of Trustees and its Fund Development and External Affairs Committee, including coordinating with senior leadership to compile relevant quarterly updates
Special Events:
- Coordinating the logistics and execution of two of VHCF's annual events: VHCF’s Annual Legislative Day and the Cheers for Champions! recognition event
- Provide event-related support, including invitations, vendor logistics, sponsorship tracking, and day-of coordination activities
We are excited about you because you…
- Have 3-5 years of experience in a fund development support, advancement, or nonprofit administrative role
- Bring strong attention to detail and accuracy. Especially in data entry, donor records, and written communications
- Have excellent written communication skills, with the ability to draft professional correspondence and reports
- Have experience working with a donor database or CRM (Bloomerang experience a strong plus)
- Know your way around Microsoft Office Suite (Word, Excel, PowerPoint, Teams)
- Demonstrate the ability to manage multiple deadlines and competing priorities independently
- Are comfortable working cross-functionally and asking clarifying questions when something doesn't look right
- You understand that accurate donor records, timely reports, and well-run events are essential to building strong relationships and supporting successful fundraising.
We’re especially excited if you…
- Are genuinely curious about health access, public health, and/or mission-driven work
- Have prior nonprofit fundraising experience and familiarity with a wide range of programs, including state-based programs
- Have experience and an in interest supporting events coordination
This role might not be a fit if you…
- Prefer to observe rather than act. This role rewards people who flag the discrepancy, ask the clarifying question, and follow up without being asked.
- Prefer a narrow, consistent focus or need your day-to-day to look the same week over week. Flexibility is built into this role, and much of that scope is the variety: regular touchpoints across program teams, leadership, communications, and external stakeholders.
- Find persistent follow-up draining. Staying on top of communications with partners, donors, and internal staff to meet deadlines is a real and regular part of this work.
Reasons it pays to work for VHCF (in addition to the pay itself)…
- A collegial and engaging workplace with talented, mission-driven colleagues.
- Comprehensive benefits package that includes health, dental, and disability insurance.
- 403(b) retirement contribution.
- Paid parental leave.
- Generous paid time off and 13 paid holidays.
- Hybrid work environment. (3 days in-office)
If this role excites you, but your experience doesn’t perfectly match every requirement, we still encourage you to apply. Our hiring philosophy looks to weed candidates INTO our process, not weed them out! Who knows, you may be just the right candidate for a future role inside or outside of the Sandbox. Just go for it and submit your resume.
