Vermont Information Processing (VIP) is a leading provider of enterprise software and technology solutions for the beverage industry. Our platforms power distributors, brewers, and beverage companies across North America, helping them operate more efficiently and grow their businesses.

We are expanding our legal and operational capabilities and are seeking a detail-oriented Contract Administrator to support the management of customer, vendor, and partner agreements.

Position Overview

The Contract Administrator will manage the lifecycle of contracts across the organization, supporting drafting, review, negotiation coordination, execution, and ongoing compliance. This role works closely with legal, sales, finance, procurement, and leadership to ensure agreements are processed efficiently, accurately, and in alignment with company policies.

Key Responsibilities

Contract Lifecycle Management

  • Administer the full contract lifecycle including drafting, redlining coordination, execution, storage, and renewal tracking
  • Maintain and manage the company’s contract repository and ensure documentation accuracy
  • Coordinate internal reviews with legal, sales, finance, and procurement stakeholders
  • Support preparation of customer, vendor, SaaS, and partnership agreements
  • Track contract milestones, renewals, expirations, and key obligations
  • Assist with contract compliance and risk management activities
  • Ensure contracts adhere to internal policies and approval workflows
  • Support contract reporting and provide visibility into contract metrics
  • Improve contract management processes, templates, and documentation practices

Compliance & Risk Mitigation

  • Ensure all contracts adhere to company policies regarding data privacy, liability, and revenue recognition.
  • Identify and flag non-standard terms, potential liabilities, or performance risks in proposed agreements.
  • Support internal and external audits by providing accurate, timely contract documentation and historical data.
  • Review incoming quotes and order forms for accuracy, ensuring that all discounts, bundles, and pricing tiers have the appropriate level of executive approval.

Qualifications

  • Experience: 3 years of experience in contract administration, paralegal work, or contract management, ideally within a SaaS or technology environment
  • Technical Proficiency:
    • Hands-on experience with Contract Lifecycle Management (CLM) tools
    • Proficiency in CRM platforms (e.g., Salesforce, HubSpot) and ERP systems
  • Knowledge Base: Strong understanding of SaaS-specific contract nuances, including Service Level Agreements (SLAs), data processing addendums (DPAs), and software licensing models
  • Communication: Ability to distill complex legal or financial terms into clear, actionable insights for non-legal stakeholders
  • Attention to Detail: Meticulous organizational skills; you are the person who catches the missing signature or the conflicting clause before it becomes a problem
  • Soft Skills:
    • Diplomacy: You can navigate the often-competing priorities of Sales (who want speed) and Legal (who want risk mitigation) without causing friction
    • Proactivity: You don't wait for a deadline to pass; you anticipate it and prepare the necessary documentation in advance
    • Resilience: You remain calm under pressure during end-of-quarter surges when contract volume peaks

Compensation: $80,000-$95,000/year

Compensation is based on a variety of factors including skills, experience and industry background. The range listed here represents our best faith estimate for the role.
