Role Summary

The Operations Manager ensures that Vintage House runs smoothly, safely, and joyfully. This role oversees the internal systems that support our staff and the external services that support our members, including facilities, rentals, food programs, member services, and basic technology. It’s ideal for a hands-on leader who enjoys solving problems, supporting others, and creating a welcoming environment where aging is celebrated.

Essential Duties

Member Services & Front Desk Leadership

  • Supervise front desk team to ensure warm, responsive service
  • Maintain member database and support CRM accuracy
  • Serve as point person for membership-related questions and resolution

Facilities & Rentals Oversight

  • Manage building maintenance, inspections, and vendor relationships
  • Oversee rental program: tours, contracts, payments, and on-call support
  • Coordinate classroom setups and ensure facility readiness
  • Support safety systems including phones, security, and fire protocols

Food Program Coordination

  • Supervise Food Program Coordinator and collaborate with volunteers
  • Ensure food initiatives align with member needs and organizational goals

Team Support & Culture

  • Participate in hiring and onboarding of staff
  • Conduct annual evaluations in partnership with Executive Director
  • Foster a culture of collaboration, accountability, and care

Event Support

  • Assist with planning and execution of special events
  • Coordinate logistics and facility readiness in partnership with event staff

Technology & Systems

  • Support basic tech troubleshooting (e.g., AV setup, connectivity issues)
  • Coordinate with external support for website updates and tech needs
  • Review invoices and payment requests for accuracy

Compliance & Preparedness

  • Ensure staff training in emergency response and safety protocols
  • Maintain documentation and readiness for disaster response

Cross-Team Collaboration

  • Work across departments to align operations with strategic goals
  • Embrace “other duties as assigned” with flexibility and purpose

Required Skills

  • Strong organizational and planning skills
  • Excellent communication and customer service abilities
  • Experience supervising staff or volunteers
  • Comfortable using Microsoft Office, Google Workspace, and CRM systems
  • Ability to lead diverse teams and work independently

Preferred Skills

  • Experience with graphic design tools (e.g., Canva, Adobe Creative Suite)
  • Familiarity with WordPress or basic website editing
  • Bilingual in Spanish and English
  • Understanding of senior services or community-based programming

Physical Requirements

  • Ability to lift up to 50 lbs and perform occasional physical tasks
  • Reasonable accommodations available
