Duties
- Manage day-to-day office operations, including scheduling, filing, and maintaining multi-line phone systems to ensure efficient communication.
- Oversee vendor management by coordinating with suppliers, negotiating contracts, and maintaining positive professional relationships.
- Supervise administrative staff, providing training, development opportunities, and performance feedback to foster a motivated team environment.
- Handle human resources functions such as onboarding new employees, managing payroll using QuickBooks or similar software, and ensuring compliance with employment laws.
- Coordinate event planning for meetings, conferences, and organizational events to promote engagement and professional development.
- Maintain accurate bookkeeping records, manage budgets, and perform regular financial reporting to support organizational planning.
- Oversee front desk operations with excellent phone etiquette and customer service skills to create a welcoming atmosphere for visitors and callers.
- Manage calendar scheduling for executive leadership and department teams to optimize time management and meeting coordination.
- Implement office policies and procedures that enhance efficiency while ensuring compliance with safety standards and organizational protocols.
Experience
- Proven supervisory experience in an office or administrative setting with demonstrated leadership capabilities.
- Extensive experience with office management tasks including calendar management, filing systems, and clerical duties.
- Proficiency in QuickBooks or comparable accounting software for bookkeeping, payroll processing, and budgeting activities.
- Prior experience in medical office management or healthcare administration is advantageous but not mandatory.
- Strong background in event planning, vendor negotiations, and human resources functions such as onboarding and training.
- Excellent organizational skills with the ability to multitask effectively in fast-paced environments.
