RESPONSIBILITIES
- Welcomes and greets all patients and visitors, in person or over the phones.
- Answers the phone while maintain a polite, consistent phone manner using proper telephone etiquette
- Responsible for keeping the reception area clean and organized.
- Registers new patients and updates existing patient demographics by collecting patient detailed patient information including personal and financial information.
- Facilitates patient flow by notifying the provider of patients’ arrival, being aware of delays, and communicating with patients and clinical staff.
- Responds to patients’, prospective patients, and visitor inquiries in a courteous manner.
- Keeps medical office supplies adequately stocked by anticipating inventory needs, placing orders, and monitoring office equipment.
- Protects patient confidentiality by making sure protected health information is secured by not leaving PHI in plain sight and logging off the computer before leaving it unattended.
- Assist the care team by helping to measure quality and identify, refine, and implement performance improvements that support the medical home by tracking progress towards defined goals and timeliness on selected improvement activities and other quality improvement initiatives.
- Assist the care team in performance evaluation and quality improvement.
- Attend office huddle and training on a regular basis.
- Attend annual meetings held at CAIPA, through seminar and/or webinar, to refresh learning of PCMH requirements, to ensure sustainability of current work-flow aligning with updated prerequisites.
- Participate in all required training about compliance, ethics, and information privacy/security.
- All other duties as assigned by the provider and office manager.
- Greet patients warmly and assist them with the check-in process.
- Schedule appointments and manage the clinic calendar efficiently.
- Handle incoming calls on multi-line phone systems, addressing inquiries and directing calls appropriately.
- Verify patient insurance information and perform insurance verification.
- Collect co-pays and process payments accurately.
- Maintain accurate medical records and documentation review in compliance with HIPAA standards.
- Utilize EHR systems such as Epic, Meditech, Athenahealth, eClinicalWorks, or similar for patient management.
- Assist with medical billing and coding tasks including CPT coding, ICD-9, and ICD-10 coding.
- Prepare care plans and ensure all necessary documentation is complete for patient visits.
- Provide clerical support including filing, typing, and data entry using Microsoft Office applications.
- Collaborate with healthcare providers to ensure seamless patient care.
