Site Director
- Oversee counseling, advising, and preparation of an approximate annual head count of 850 students.
- Ascertain appropriate modes of instruction: on-site classes, distance learning courses or college level testing, in accordance with student needs and availability of faculty.
- Resolve student academic issues within University policies and procedures.
- Counsel students (via phone, mail, e-mail or in-person) about educational options and their academic status with Vincennes University.
- Supervise an adjunct faculty pool of approximately 7 individuals and provide leadership and support for one part-time academic advisor.
- Identify and recruit qualified adjunct faculty and submit required documentation necessary for hiring.
- Ensure faculty is supplied with appropriate course plans, textbooks, and other instructional resources.
- Schedule periodic faculty/staff development workshops.
- Prepare annual course schedule consistent with student needs, faculty availability, and economic necessity.
- Ensure timely availability of textbooks and other instructional supplies essential to scheduled courses.
- Resolve classroom and equipment availability and other administrative details with base personnel.
- Ensure timely completion student registrations, evaluation packages, grade reports, student account collections, class roster reconciliation, as well as checklists and reports for the monitoring of these activities.
- Ensure timely and accurate certification of tuition assistance, veterans' educational benefits, and/or financial aid, including the submission of any supporting documentation to the proper authority.
- Prohibit current term registration of any student with prior term Account Receivable balance until full payment is received.
- Maintain student academic files and records in accordance with the Federal Education Rights and Privacy Act (FERPA).
- Manage student accounts receivable to include student payments, tuition assistance, payment plans, VA benefits and financial aid payments.
- Coordinate with various Military Educational/College Offices, applicable state approving agencies, and Veteran's Administration offices as necessary.
- Travel as necessary to effectively recruit and retain students and/or represent the University at education fairs, other MEP site locations, and military installations as well as law enforcement agencies.
- Responsible for the selection, training, and supervision of all site employees and adjunct faculty.
- Accountable for timely and accurate processing all University paperwork affecting site personnel.
- Timely submission of payroll notification for all eligible site personnel within defined deadlines to main campus office.
- Safeguard University assets, to include physical property, inventory (textbooks, equipment, etc.), academic support materials and University funds.
- Collect and deposit tuition and fees in a timely manor and reconcile returned checks.
- Monitor and control site's fiscal year budget of approximately $450,000.00 under the supervision of the Western Regional Director and Director of Military Education.
- Process budgeted expenses according to established University policies and procedures.
- Supervise invoicing and collection of all tuition and fees in accordance with University policies and procedures.
- Responsible for all aspects of marketing and public relations functions at the site.
- Responsible for ensuring that projected growth is in line with the goal set by the MEP Director.
- Bachelor’s degree required.
- Prior experience in academic advising at the community college level or higher.
- Ability to maintain orderly work environment; overall excellent organizational skills.
- Experience with the structure and function of academic advising.
- Quick learners, ability to mentally organize, create solutions “on the spot” as well as long-term.
- Experience working with diverse clientele of military personnel and civilian students.
- Proficient in Windows XP environment, Internet applications, Microsoft Office 2000, and Vincennes University Banner system.
- Understanding of Vincennes University academic policies and knowledge of requirements for degree completion.
