Vincennes University is seeking a detail-oriented and analytical professional to serve as the Assistant Registrar – Student Data Analyst. This role plays a critical part in supporting the Registrar’s Office through the management, integrity, and analysis of student academic data.
The successful candidate will coordinate technical operations, ensure compliance with academic record standards, and provide data-driven support for institutional decision-making. This position also serves as a key liaison between the Registrar’s Office, Admissions, and IT to support system functionality and continuous improvement.
Key Responsibilities
- Coordinate technical operations and data processes within the Registrar’s Office to ensure accuracy, security, and compliance of student records.
- Provide functional support for the student information systems, including reporting, data integration, testing, and process improvement
- Serve as a liaison with Admissions, IT, and other departments to troubleshoot issues and support system enhancements.
- Monitor and maintain nightly processes, resolving errors and ensuring successful completion.
- Supervise and support office staff, including training and process guidance.
- Develop and implement training for systems and data processes.
- Run end-of-term processes and generate institutional reports (e.g., enrollment, graduation, National Student Clearinghouse)
- Assist faculty, advisors, and academic leadership with registration, grading, and academic record inquiries.
- Support core Registrar functions including transcripts, enrollment verification, degree certification, and academic records maintenance.
- Ensure compliance with FERPA and institutional policies.
- Assist in resolving student record issues and co-manage office operations as needed.
Required Qualifications
- Bachelor’s degree or equivalent combination of education and experience.
- Demonstrated supervisory or team leadership experience.
- Strong analytical, organizational, and problem-solving skills.
- Ability to work independently and make sound decisions in complex situations.
- Strong communication and interpersonal skills.
- Strong computer skills required; experience with the Google platform preferred, along with the ability to learn University systems.
- Commitment to confidentiality and data integrity.
Preferred Qualifications
- Experience in a Registrar’s Office or student records environment.
- Knowledge of student information systems (preferably Banner).
- Experience with data integration across systems (e.g., Slate, Banner).
- Familiarity with compliance reporting and accreditation standards.
- Experience with tools such as BDMS, Parchment, and National Student Clearinghouse.
Work Environment
This position is based on the Vincennes campus and may require occasional evening or weekend work. The role involves standard office activities, including extended periods of sitting or standing and occasional lifting.
