Responsibilities
- Maintain accurate and comprehensive official records, including meeting minutes, ordinances, resolutions, and legal documents with meticulous attention to detail.
- Manage daily office operations, including answering multi-line phone systems, handling front desk inquiries, and providing support to village officials and staff.
- Coordinate calendar management for meetings, public hearings, and community events to ensure timely scheduling and preparation.
- Facilitate data entry and filing processes using computer literacy skills in programs such as Microsoft Office.
- Assist residents with inquiries via phone or in person while demonstrating excellent phone etiquette and customer service skills.
- Handle confidential information with integrity while supporting administrative tasks like proofreading documents, organizing files, and managing correspondence.
- Support election processes by preparing materials, maintaining voter records, and ensuring compliance with local regulations.
Experience
- A degree in public administration or a related field is required.
- Three to Five years of experience in a governmental setting is preferred.
- Proven ability to manage multiple tasks efficiently with strong organizational skills and time management capabilities.
- Experience using office management software such as Microsoft Office Suite (Word, Excel) and multi-line phone systems.
- Demonstrated professionalism in handling confidential information with discretion.
- Strong typing skills for data entry and document proofreading are essential.
