Job Summary
We are seeking a highly organized and motivated Dispatch/Coordinator to oversee and manage our Maintenance Dispatch Department. This role serves as the critical link between our residents, leasing offices and the Maintenance Department, ensuring seamless communication, efficient scheduling, and the highest level of customer service. Under the direction of the Office Manager and Maintenance Superintendent, this position is responsible for leading the dispatch team, ensuring timely completion of service calls, and supporting overall property operations.
Reports to: Superintendent, Office Manager
Key Responsibilities
- Manage and oversee the daily operations of the Dispatch Department.
- Answer dedicated Maintenance Department phone lines and emails; record and track service requests.
- Enter work orders and turnovers accurately into the system.
- Coordinate and schedule turnovers, inspections, contractors, vendors, and staff.
- Assign and prioritize daily work schedules for maintenance teams.
- Act as a liaison between employees, residents, and management.
- Assist with ordering supplies and receiving deliveries.
- Create written communications such as notices and flyers for residents.
- Maintain organized filing of maintenance-related documents.
- Support management staff with administrative and operational duties.
- Model professionalism by following company policies, procedures, and dress code.
- Notify management of potential maintenance concerns and recommend solutions.
- Perform additional duties as assigned.
Qualifications
- High school diploma or GED required.
- Departmental management preferred.
- Tech-savvy; eager to implement new technology within the department.
- Strong leadership, organization, and communication skills.
- Ability to work effectively with diverse staff, residents, and vendors.
- Personable, trustworthy, and professional.
- Valid driver’s license with a clean record (no major violations in past 7 years if driving a company vehicle).
- Ability to lift/carry up to 25 pounds.
