Description
Incumbent serves as Deputy Auditor - Claims for the Vigo County Auditor’s Office. Deputy Auditor-Claims is responsible for processing claims for accuracy and paying accordingly.
Examples of Duties
  • Processes claims prior to data entry into software, checking for correct fund and account numbers, amounts, vendor information, invoices, receipts, supporting documentation, W9’s, delinquent property taxes, and compliance with State Board of Accounts rules. Contacts appropriate department for incorrect claims for corrections or clarification.
  • Processes claims into software for payment, including checking fund availability, totaling each batch and balancing, printing checks, sorting and mailing to vendors. Scans claims processed and files as hard copy in computer by department.
  • Maintains vendor W9’s, including keeping files for all vendors, verifies new W9 with IRS, checking records against IRS records. Contact vendor when issues arise.
  • Generates report weekly for claims paid, including payroll for submission to Commissioners.
  • Process quietuses as needed, including checking Report of Collections for errors, contacting department for corrections if necessary, entering data software and distributing quietuses to Treasurer and departments.
  • Assists various departments with questions regarding rules and appropriations for claims.
  • Retrieves outgoing mail and distributes incoming mail.
  • Processes and pays election claims on election years.
Typical Qualifications
  • High school diploma or GED.
  • Ability to meet all Department hiring requirements, including passage of a drug test.
  • Working knowledge of standard office policies and procedures and Department computer systems and related programs, and ability to apply such knowledge to a variety of interrelated processes, tasks and operations.
  • Working knowledge of and ability to comprehend and correctly use a variety of informational documents, including deeds, abstracts, sales disclosures, and other reports and records.
  • Working knowledge of standard English grammar, spelling and punctuation, and ability to complete various forms/documents and prepare written reports as required.
  • Knowledge of basic filing systems and ability to create and maintain Department files and records.
  • Ability to operate standard office equipment, including computer, calculator, telephone, copier, and fax machine.
  • Ability to effectively communicate orally and in writing with co-workers, other County departments, attorneys, title companies, and the public, including being sensitive to professional ethics, gender, cultural diversities and disabilities.
  • Ability to comply with all employer and department polices and work rules, including, but not limited to, attendance, safety, drug-free workplace, and personal conduct.
  • Ability to provide public access to or maintain confidentiality of department records and information according to state requirements.
  • Ability to understand, memorize, retain and follow oral and written instructions and present findings in oral or written form.
  • Ability to compare or observe similarities and differences in data, compile, collate, or classify data, and make determinations based on data analyses.
  • Ability to work alone with minimum supervision and with others in a team environment.
  • Ability to work on several tasks at the same time and work rapidly for long periods, occasionally under time pressure.
  • Ability to apply knowledge of people and/or locations, and plan and layout assigned work projects.
  • Ability to read and interpret detailed prints, sketches, layouts, specifications, and maps. Ability to perform arithmetic calculations.
  • Ability to occasionally work extended, and/or evening hours, and occasionally travel out of town for training, sometimes overnight.
Supplemental Information
Incumbent performs standard, recurring duties according to Department policies and practices with work priorities primarily determined by service needs of the public and/or seasonal deadlines. Assignments are guided by definite objectives using a variety of methods or procedures. On rare occasions, decisions are made in the absence of specific policies and procedures, and/or guidance from supervisor. Work errors are primarily detected or prevented through legally defined procedures, supervisory review and/or notification from other departments or agencies. Undetected errors could result in loss of time and money to department, and inconvenience to other agencies or the public.
Incumbent maintains contact with co-workers, other County departments, attorneys, title companies, and the public for the purpose of exchanging information.
Incumbent reports directly to the Auditor, Chief Deputy Auditor and the Tax & Financial Supervisors.
Incumbent performs duties in a standard office environment, involving sitting/walking at will, bending, reaching, keyboarding, lifting/carrying objects weighing less than 25 pounds, close/far vision, color/depth perception, speaking clearly, and hearing sounds/communication. Incumbent occasionally works extended, and/or evening hours, and occasionally travels out of town for training, sometimes overnight.
