Job Title: Senior Claims Administrator – Public Sector Relief Program
Company: Vigilantics
Location: Remote (U.S.-based)
Employment Type: Contract / Full-Time (Contingent on Award)

About the Role

Vigilantics is seeking a Senior Claims Administrator to lead the administration of a multi-year, public-sector relief program for a confidential government client. The program involves managing a high-volume portfolio of individual claims and overseeing the full lifecycle of a structured relief/settlement process.

This role is contingent on contract award and is ideal for someone who has previously handled complex, multi-million-dollar settlement or relief programs involving hundreds of claimants.

Key Responsibilities

  • Design and manage the claims administration process, including forms, workflows, and documentation.
  • Oversee the full lifecycle of claims: intake, review, determination, communication, and closeout.
  • Process and track electronic submissions using a secure case management or claims platform.
  • Evaluate claims and calculate individual awards based on established criteria and program rules.
  • Draft and send clear, professional claimant-facing notices and correspondence.
  • Coordinate with internal and client stakeholders (legal, finance, program staff) to resolve issues.
  • Support payment processing, tracking, and reconciliation in coordination with finance.
  • Maintain audit-ready records and prepare periodic status reports and a final closeout report.
  • Safeguard sensitive personal and financial information in line with strict confidentiality and data security requirements.

Minimum Qualifications (Required)

Please apply only if you clearly meet these criteria:

  • 5–10 years of experience in claims administration (not just general case management).
  • Direct experience administering large-scale settlement, restitution, or relief programs in the public or quasi-public sector (e.g., civil rights, employment, consumer, or similar programs).
  • Proven involvement in at least one multi-million-dollar fund or program with hundreds of claimants.
  • Demonstrated ability to manage a high-volume caseload (e.g., dozens of claims per week) with strict deadlines.
  • Hands-on experience with secure electronic intake and tracking systems (claims/case management tools, custom databases, etc.).
  • Strong understanding of payment and basic tax-reporting considerations related to settlement or award payments.
  • Excellent written communication skills and comfort drafting clear instructions and notices to claimants.
  • Exceptional attention to detail, organization, and documentation skills.

Preferred Qualifications

  • Prior experience with employment-related, civil rights, or similar legally sensitive programs.
  • Experience working with government agencies or public-sector clients.
  • Background in both program design and day-to-day claims processing.
  • Familiarity with data privacy, confidentiality, and security best practices.

Work Environment & Schedule

  • Location: Remote within the United States.
  • Schedule: Full-time during peak claims periods; flexibility required to meet program milestones.
  • Duration: Multi-year program (subject to contract award and client timelines).

Background, Confidentiality & Security

  • Role involves handling sensitive personal information.
  • Final candidates must pass a criminal background check.
  • Must sign and comply with a Non-Disclosure Agreement (NDA) and follow all security and confidentiality protocols.
