We are seeking a highly organized and detail‑driven Legal Bookkeeper to support our real estate and trust accounting operations and ensure our financial processes remain accurate, compliant, and audit‑ready.
Position Summary
The Legal Bookkeeper plays a critical role in maintaining accurate financial records, managing real estate transactional funds, and ensuring compliance with strict IOLTA and trust accounting standards. This position supports both daily operations and year‑end reconciliation processes that keep the firm running smoothly.
Key Responsibilities
- Reconcile operating and IOLTA/trust accounts monthly with complete accuracy
- Record and track real estate disbursements, deposits, and wire transfers
- Maintain compliant closing ledgers and ensure adherence to IOLTA and REBA regulations
- Prepare and file Massachusetts DOR forms and IRS 1099‑S filings
- Generate financial summaries and collaborate with the CPA for year‑end reconciliation
- Maintain organized, audit‑ready digital financial records
- Uphold strict confidentiality and ethical handling of all financial data
Required Qualifications
- 3 years of bookkeeping experience, preferably in a law firm, title office, or real estate closing environment
- Proficiency in Qualia Real Estate Software (or comparable title/escrow accounting software)
- Strong understanding of trust accounting and escrow fund management
- Exceptional accuracy, organization, and attention to detail
- Ability to work independently in a fast-paced, deadline-driven legal environment
- High level of professionalism and confidentiality
