Job Summary:

We are seeking a highly organized and detail-oriented Office Administrator to support our construction office operations. The ideal candidate will handle a variety of administrative and clerical tasks to ensure the efficient day-to-day operation of the office and support project teams in maintaining accurate records and communication.

Key Responsibilities:

General Office Support:

  • Answer and direct phone calls, emails, and other correspondence
  • Maintain office supplies and inventory
  • Organize and maintain physical and digital files

Project Support:

  • Assist project managers with document preparation, data entry, and scheduling
  • Help maintain project documentation including contracts, change orders, RFIs, and submittals
  • Coordinate with subcontractors and suppliers regarding schedules and documentation

Financial & Administrative Tasks:

  • Assist with invoicing Projects and Jobs
  • Help track invoices, purchase orders, and expense reports
  • Support budget tracking and cost reporting

Compliance & Recordkeeping:

  • Ensure proper filing of safety records, permits, and inspection reports
  • Maintain up-to-date insurance certificates and licenses for subcontractors

Qualifications:

  • Proven experience as an office administrator, office assistant, or relevant role
  • Strong organizational and time management skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Ability to multitask and work independently

Working Conditions:

  • Office-based
  • Fast-paced environment with frequent deadlines

  • Hourly
