We are seeking an experienced Part-Time Office Manager to oversee the daily administrative operations of our Venice office. This is an in-person position ideal for someone who thrives in a fast-paced healthcare setting and has prior experience working in behavioral health, ABA, or a medical practice.
Position Overview
The Office Manager is responsible for ensuring the smooth day-to-day operation of the practice while providing outstanding support to our clinical team and exceptional service to our staff. This role requires strong organizational skills, initiative, professionalism, and the ability to manage multiple priorities in a confidential healthcare environment. The Office Manager will serve as a key member of the leadership team, supporting office operations, staff coordination, and practice growth.
Responsibilities
* Oversee the daily operations of the office to ensure an organized and efficient workflow.
* Manage office schedules, provider calendars, and client appointments.
* Coordinate new client intake, registration, and onboarding processes.
* Support therapists and providers with administrative and scheduling needs.
* Develop and maintain efficient office procedures and workflows.
* Assist leadership with operational projects, reporting, and practice management initiatives.
* Maintain a professional, welcoming environment that reflects Vida Counseling Group's commitment to excellent client care.
* Assist with employee onboarding, orientation, and new hire paperwork.
* Help maintain personnel files and ensure employee documentation remains organized and compliant.
* Coordinate staff training, certifications, and compliance requirements.
* Support payroll preparation by tracking employee time, attendance, and requested documentation.
* Assist with recruiting activities, including scheduling interviews, communicating with candidates, and coordinating the hiring process.
* Promote a positive, collaborative workplace culture by supporting staff communication and engagement.
Qualifications
* Minimum of one year of office management or healthcare administration experience.
* Previous experience working in a behavioral health, mental health, ABA, or medical practice is required.
* Knowledge of insurance verification, prior authorizations, and medical billing processes.
* Familiarity with HIPAA regulations and maintaining confidential health information.
* Strong organizational, time management, and problem-solving skills.
* Excellent written and verbal communication skills.
* Ability to work independently while collaborating effectively with a multidisciplinary team.
* Experience with employee onboarding, HR administration, or office leadership is preferred.
* Professional, dependable, and compassionate with a strong customer service mindset.
