Victory Programs has been on an exciting growth trajectory, with continuous investments in our Development, Fundraising, and Communications efforts. We are now ready to expand our team by adding a Development Associate, reporting to the Deputy Director of Development, to partner with and support the 6-person Development and Communications team. We are seeking a mission-focused, strategic detail-minded, and process-minded individual with experience in logistics, databases, planning, and administrative support.
The Development Associate is responsible for all administrative aspects of development and communication activities. The Development Associate plays an important role by providing administrative support to the team and participating in all fundraising activities, including donor relations, marketing and communications, direct mail appeals, and special events. Your work will directly contribute to our mission and the lives we touch.
The Development Associate will play a crucial role in ensuring the accuracy and currency of our donor records, a task that acknowledges our donors’ generosity. They will also be responsible for helping to plan, coordinate, and execute fundraising events and for all logistical aspects of event production. Their contribution will be instrumental in ensuring the successful execution of our annual development plans. This is an ideal entry-level role for someone looking to make a significant impact in the non-profit fundraising arena.

Salary Classification:
Victory Programs is committed to paying competitive wages. To increase equity, we do not participate in a salary negotiation process for any candidate because we know that salary negotiations tend to have an unfair bias. We will make our best offer, and it will be the same regardless of the candidate. The hourly wage for the Development Associate is $26/hour or $54,080 annually. This position is a non-exempt position and is therefore eligible for overtime pay. The position is hybrid with the expectation to work on-site in a Victory Program location at least 3 full days per week.
Status: Full-time (40 hours) Monday - Friday. Hybrid, primarily daytime hours with some evenings required.
Our benefit program includes a 75% health and 25% dental employer premium contribution, 100% employer paid disability and life insurance. Victory Programs offers a generous paid time off package to all employees including vacation, sick, and personal time as well as holidays. Upon hire, all staff are entitled to up to: 4 personal days, 160 sick hours, 10 holidays and 3 1/2 weeks of vacation. These figures adjust based on full time or part time status and allocated vacation time increases with length of employment.

Position Responsibilities
Fund Development
- Efficient handling and recording of donations within the database, including monetary and in-kind gifts, while maintaining compliance with relevant guidelines and best practices.
- Process donations and prepare and send timely acknowledgment letters and other correspondence.
- Create monthly fundraising reports and dashboards.
- Manage relationships in the donor database and communicate accordingly with various stakeholders (Board of Directors, Executive Director, Annual Fund Manager, for example) for updates.
- Maintain foundation, corporation, and individual donor files (on the database and server).
- Conduct preliminary research on prospective corporate, foundation, and individual donors.
- Reconcile donations with the Finance Department monthly.
- Handle all administrative details associated with the team or committee meetings (i.e., prepare and distribute notices, agendas, minutes, and refreshments).
- Assist the Annual Fund Manager with the production and mailing of appeals, postcards, and special mailings.
- Support all tasks required for the upkeep of the CharityProud donor database.
- Participate in the planning of all in-person and virtual events.
- Responsible for all logistical elements of events, including managing guest lists, tracking income and expenses, and preparing registration material.
- Assist with the personalization and dissemination of invitations.
- Conduct post-event follow-up with attendees.
- Create and provide post-event analysis, which includes feedback from attendees, financial outcomes, and suggestions for future events.
- Send timely and personalized acknowledgments of all donations received ensuring donors feel valued for their contributions.
- Generate comprehensive reports to support fundraising and communications efforts which may include mailing lists, analyses of donor trends, tracking fundraising progress, and providing insights to the development team.
- Create, organize, and update mailing lists to enhance outreach efforts and ensure targeted communication with donors, funders, volunteers, and prospects.
- Prepare media materials for distribution. (i.e., copying, filing, mailing, e-mailing)
- Assemble media and donor kits for events and meetings.
- Manage the logistics of in-kind donations, inventory with Procurement, and documentation related to in-kind contributions, ensuring proper recognition and adherence to guidelines.
- Perform various assigned administrative tasks to support the development team, including scheduling donor meetings, weekly team meeting agendas, preparing materials for fundraising events, donor meeting briefings for the development team and Executive Director, and assisting in annual fund development planning.
- Maturity, organization, adaptability, and ability to work consistently well with others and independently.
- Strong organizational skills, keen attention to detail, excellent verbal and written communication skills, and financial knowledge/skills.
- Proficient in a variety of software and database applications strongly preferred.
- High school diploma and a minimum of two years’ work experience in a comparable field, such as sales, or a Bachelor’s degree.
- Excellent writing, interpersonal, and communication skills.
- Ability to handle multiple concurrent assignments and meet deadlines.
- Exemplary customer service skills include enthusiasm, empathy/compassion, patience, flexibility, humor, and charisma.
