Responsibilities
Office Assistant:
- Provide exceptional customer service communicating both in verbal and written form
- Answering, assisting, and directing all incoming telephone calls to appropriate parties in a professional and courteous manner
- Help promote office organization
- Ensures conference rooms and public spaces are organized and tidy
- Scanning and verifying confidential client and accountant documents in a timely process; working with a paperless filing system and maintaining confidential client information, keeping up-to-date internal office documents
- Performing related clerical work such as typing, filing, and distributing, and processing incoming and outgoing mail
- Preparing regular and certified mailings using business standard formatting
- Manage and maintain inventory of breakroom and office supplies
Bookkeeper:
- Monthly, quarterly and annual bookkeeping for clients across a wide range of industries
- General office responsibilities, communicate effectively on the telephone, in person, and in writing
- Prioritize and complete time sensitive tasks accurately and on time
- Record financial transactions accurately and efficiently in the client’s accounting software platform
- Execute applicable processes related to accounts payable, accounts receivable management, bookkeeping entries, and inventory
- Bank and credit card reconciliations
- Preparing various financial reports for clients, including reviewing for reasonableness and accuracy
- Educating and assisting clients with using applicable software programs; training on procedures for providing documents for services
- This position may require some travel between the office, bank, post office, and stores when needed.
- Participating in activities needed to support the management functions of the team
- Performing other duties as assigned
Experience
- Accounting degree or certificate preferred but not required
- Career-oriented; Growth mindset, with a willingness to learn and adapt in face-paced environment
- Minimum of 2 years of related office experience required, preferably in an executive support role;
- Minimum of 2 years of experience using QuickBooks Desktop and/or QuickBooks Online
- Understanding of double entry bookkeeping concepts, debits, credits, and balance sheet reconciliation
- Proficient in Microsoft Office, including: Outlook, Word and Excel
- Strong organizational and verbal/written communication skills
- Self-starter and proactive approach to work
- Ability to receive constructive criticism and feedback to improve processes
- Reliable and trustworthy; Maintains high level of professionalism at all times
- IT savvy and comfortable working with technology
- Public Accounting Office setting experience helpful but not required
