What are the responsibilities and job description for the Controller position at VICTORIA THEATRE ASSOCIATION?
Purpose:
The Controller is a highly qualified, detail-oriented financial leader responsible for ensuring accurate, timely and compliant financial reporting for the Victoria Theatre Association and the Arts Center Foundation. This role supervises a team of two accounting professionals and supports strategic decision-making by maintaining strong internal controls, supporting audits, and safeguarding the organization’s assets.
Essential Functions:
1. Financial Management & Reporting:
· Direct and oversee all accounting functions, including accounts payable, accounts receivable, payroll, bank reconciliations, physical inventory process and general ledger maintenance.
· Manage month-end financial closing process.
· Prepare and present accurate monthly, and annual financial statements in accordance with Generally Accepted Accounting Principles (GAAP).
Develop and maintain a chart of accounts that supports both operational and programmatic reporting needs.
· Ensure accurate and timely reconciliation of all account balances.
· Coordinate with the Development department to assure the appropriate recording of revenues for contributions, pledges, grants and related receivables. Provide appropriate financial information for grant applications and required filings with various Arts organizations (eg. Ohio Arts Council, Cultural Data Project, etc.)
· Maintain internal controls and integrity of Amano Garage system database to ensure accurate reporting and timely collection of all revenues.
2. Budgeting & Forecasting:
· Assist with the annual budgeting process, collaborating with department heads to align financial resources with organizational priorities.
· Monitor budget-to-actual performance, prepare variance analyses, and recommend corrective actions when necessary.
· Partner with leadership to evaluate the financial impact of new programs, partnerships, and funding opportunities.
· Assist with the preparation of financial projections for quarterly forecasting as well as annual budgeting for various departments and business areas.
3. Compliance & Audit:
· Coordinate and manage the annual audit process, including preparation of audit schedules and liaison with external auditors.
· Prepare various schedules and support documentation to assist CPA firm in the preparation of tax returns (Form 990 and 990-T).
· Maintain and regularly update financial policies, procedures, and internal controls to safeguard assets and ensure operational efficiency.
4. Systems & Process Improvement:
· Evaluate and implement accounting systems, tools, and technologies to improve efficiency and reporting capabilities.
· Streamline workflows and automate processes where possible to reduce manual errors and improve timeliness.
· Ensure data integrity and security within financial systems.
· Establish and apply a system of internal controls to assure legal / fiscal compliance with laws, rules and generally accepted accounting principles applicable to the operation.
· Maintain business process narratives.
5. Team Leadership & Cross-Department Collaboration
· Supervise, training and mentor finance staff, fostering a culture of accountability, accuracy, service to other departments and continuous improvement.
· Collaborate with departments to ensure financial processes support mission delivery.
· Provide training and guidance to non-financial staff on budget management and financial procedures.
· Serve as trusted advisor to the CFO, CEO, and Finance Committee.
6. Other support:
· Provide backup to the CFO for various functions as-needed, including, but not limited to daily cash transfers, ad-hoc reporting with various institutions or organizations as well as internal financial management analysis.
· Maintain SAGE 2019 Fixed Asset System (FAS) for all company assets and ensure proper capitalization, categorization, and depreciation of fixed assets.
· Other duties as assigned.
Qualifications:Education & Experience:
· Bachelor’s degree in accounting, finance or related field (CPA preferred)
· Minimum 5 years of accounting experience, with supervisory experience preferred
· Experience in nonprofit financial management, including grant accounting and funder reporting
· Strong knowledge of GAAP, budgeting, cost control procedures and nonprofit compliance requirements (IRS Form 990)
· Proficiency in accounting software and Microsoft Excel
· Excellent analytical, organizational and communication skills
· Self-motivated and able to complete tasks accurately and timely, with minimal supervision
· Strong verbal and written communication skills
· Ability to prioritize and multi-task
· Ability to interface with employees from other departments and external parties such as vendors, CPA firm, etc.
· Ability to motivate and mentor staff to produce quality work within tight timeframes
· Simultaneously manage several projects
· Proven ability to maintain confidentiality
Salary : $90,000 - $110,000
