JOB SUMMARY:
The Leave Administration Coordinator manages employee leave requests to ensure legal compliance and company policy adherence. They guide employees and managers through the process, handle documentation, track leave usage, and coordinate return-to-work plans.
CORE RESPONSIBILITIES:
- Leave Management: Administer various leaves of absence including but not limited to FMLA, CFRA, PDL, ADA, Military, Workers Compensation and Personal Leaves. Track timelines, eligibility, and return-to-work dates and processes.
- Compliance & Law: Ensure all leave processes strictly adhere to federal, state, and local employment regulations.
- Stakeholder Communication: Serve as the primary point of contact for employees and managers. Guiding employees and managers through leave processes, benefits, and rights.
- Payroll & Benefits Coordination: Collaborate with HR and Payroll teams to manage premium payments, time-off accruals, and pay continuity during leaves of absence.
- Data and Reporting: Tracking, auditing and coding leave data in HRIS system. Including maintaining Leave Dashboard and generating reporting metrics for management as requested.
- Documentation: Maintain accurate and confidential records of medical documentation.
- Completes other duties as assigned.
MINIMUM REQUIRED EDUCATION AND EXPERIENCE:
- Must possess a Bachelor degree in Human Resources, Business Administration or related field or four years of equivalent training and experience in leave administration and HR compliance.
- A minimum of two years of HR or personnel administration experience with a focus on leave management, HR compliance, and policy implementation.
- Must have thorough understanding of federal, state, and local leave laws applicable to the jurisdiction, including but not limited to Family and Medical Leave Act (FMLA), California Family Rights Act (CFRA), Pregnancy Disability Leave (PDL), Americans with Disabilities Act (ADA), Military and Civic Duty Leave, etc.
- Must possess excellent written and verbal communication skills and excellent listening and problem-solving skills.
- Must have proficiency with MS Office and related HR software for documentation, reporting, and compliance tracking.
- Must have the ability to work collaboratively with a broad range of managers and leaders.
POSITION/SITE REQUIREMENTS:
- Must possess a valid California driver's license, personal automobile insurance and driving record that meets the standards outlined in the Agency's Personnel Policy: Motor Vehicle Operating Standards.
- Must be physically and mentally fit in accordance with the Agency's Personnel Policy: Physical Fitness Standards and Examinations. Must be willing to complete a Tuberculosis (TB) test and drug screening test.
- Must be willing to complete a personal background investigation conducted by the State of California.
- Must be willing to work within a culturally integrated workplace and be willing to respect human differences based upon protected classes as defined by state, federal and local laws, or any other condition that distinguishes people from one another.
PHYSICAL REQUIREMENTS:
- Have an adequate range of body motion and mobility to work in an office or outdoor environment including standing and walking (even and uneven surfaces), alternating between standing and sitting for extended periods of time, bending, kneeling, twisting, reaching balancing and occasional carrying and lifting up to 25 pounds occasionally, and up to 10 pounds frequently.
- Physically able to walk up and down stairs routinely.
- Must be able to sit for prolonged periods of time in a vehicle (may be up to 100 miles driving distance).
- Requires the ability to utilize computer and telephone systems, which includes the coordination of eye and hand and fine manipulation by the hands and fingers for typing, writing and working with files.
COMPENSATION:
- Pay Range: $33.00/per hour - $41.88/per hour (actual salary is dependent on verification of applicable experience above the minimum qualifications for the role)
