What are the responsibilities and job description for the Home Health Care Scheduler position at Viceroy Home Health?
Anticipated Schedule
Monday- Friday 8am-5pm and alternating on call week. The schedule will be created each week based on scheduling needs and client shift needs.
Job Overview
Schedule Management: Assess client needs and caregiver availability to ensure that all shifts are properly staffed.
Client Caregiver: Serve as fill-in caregiver in the event that a shift was not staffed or an emergent shift has surfaced.
Administration: Provide general operational support to the Operations Director.
On-Call: Rotate managing phone calls after hours to ensure that all shifts are properly staffed.
Job Expectations
1. Staff cases – must be familiar with all cases, clients, and caregivers for staffing shifts. Matches caregivers with cases suited for their availability and sees that their skills are suited for the client's Plan of Care (POC). Coordinate schedules to ensure patient visits are staffed appropriately. Manages staff absences to ensure that each client’s needs are being fulfilled.
2. Must communicate very clearly via telephone, email, and/or text with caregivers to ensure caregivers understand the needs of the clients and the dates and times of their shifts.
3. Communicates with clients to update them when a new caregiver is being introduced to the case.
4. Handles/resolves client and caregiver issues, problems and scheduling changes, and requests assistance from other staff as needed. Provides timely follow up to clients and caregivers once shifts have been staffed,changes have been confirmed, concerns have been addressed or questions have been answered.
5. Works closely with Recruiting team to make recommendations for recruiting needs.
6. Participates in "On-Call" rotation after business hours to ensure all calls are correctly routed and addressed in case of emergencies.
7. Build positive relationships with incoming callers including current clients and caregivers, potential clients and caregivers and team members.
8. Reports patterns and trends pertaining to caregiver attendance and behavior during meetings or immediately if present immediate business threat.
9. Act as the schedule expert by proving pre-planned list of caregivers and coverage options for the on call person.
Position Requirements:
- 2 years scheduling experience required.
- 1 year customer service experience preferred.
- Ability to multi-task in a fast-paced environment.
- Proficient with computers and MS Office programs.
- Must be flexible and able to work in a very dynamic environment of the rapidly growing agency.
- Ability to maintain a pleasant helpful demeanor with all staff and clients.
- Strong oral and written communication skills.
- Comfortable under complex and high-pressure situations.
- Highly motivated, self-starter, and capable of working autonomously.
- Superior organization skills and detail oriented.
- Pass a background check and drug screening.
Salary: $35,000-$40,000
