What are the responsibilities and job description for the Sales Assistant position at VIA Technologies, Inc.?
Responsibilities:
- Process sales orders, quotations, and purchase requests accurately and in a timely manner:
a). Generate proforma invoice to collect payment or prepay order.
b). Receive customer PO, review order details(product, quantity, price, delivery date, etc) and send order shipping confirmation to customer
c). Maintain sales order data entry, sales discount order (credit), sales return order
d). Check account receivable to make sure there is no credit issues prior to shipment. Provide tracking information to customers after shipment or auto tracking release
e). Request freight charge from shipping department if order is prepay and add that charge.
f). Coordinate with logistics, finance, and production teams to ensure on-time delivery and proper invoicing.
g). Maintain and update customer, order, and shipment information in ERP system.
h). Communicate with customers on delivery status, documentation, and after-sales support matters.
- Warehouse Sales sample out (Work order), Warehouse partner transferring.
- New customer set up: a. Account setting up, communicate with customer on credit application, accounts payable contact, bank reference, tax exempt/resales card, etc. b. Fill out customer’s Vendor Forms to get VIA set up in customer’s accounting system.
- Prepare and maintain weekly sale report and fulfillment reports for management review. (Generated on Oracle and sent every Monday)
- Submit purchase request on eForm upon request (Production PR, Engineering PR, general or reimbursement PR)
Educational Background / Experience Required:
- Bachelor’s degree in Business Administration, Operations, Supply Chain Management, or a related field (or equivalent experience).
- Strong organizational and time-management skills with attention to detail.
- Proficiency in Microsoft Office (especially Excel) and experience with CRM or ERP systems (e.g.,Salesforce, SAP, NetSuite, Zoho).
- Excellent communication skills, both written and verbal.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Team-oriented, dependable, and able to work cross-functionally with logistics, finance, and production departments.
Hour:
- 8am to 5pm, Monday to Friday.
Job Type: Full-time
Pay: $28.00 - $33.00 per hour
