Purchasing Assistant
Reports to: Purchasing Manager
Via Design is an architecture and interior design firm with over 35 years of experience serving clients in the commercial, residential, hospitality, and retail sectors in Grand Rapids and beyond. Our integrated team, including architects, interior designers, furniture makers, 3D rendering specialists, and administrative staff, is dedicated to creating thoughtful, enduring spaces that reflect each client’s vision.

We are looking for a full-time Purchasing Assistant to join our team.
Hours: Monday – Friday, 8 am – 5 pm in the office.
Responsibilities:
I. Receiving Room Responsibilities
A. Maintain the receiving room by receiving, issuing, and delivering packages.
1. Inspect merchandise and verify the quantity and quality of stock received from the manufacturer.
2. Keep the room clean and organized, including breaking down and throwing away recycling, cardboard, and trash from packages.
3. Help with damaged inventory returns.
4. Maintain install kits and backstock of items.
5. Make sure proper packaging material is in stock on both 3rd and 4th floors.
II. Inventory Responsibilities
A. Maintain tagging and putting away/ storing of retail products & equipment.
B. Annual inventory count.
C. Check items in and out for client installs.
D. Maintain client storage/ organization.
III. Purchasing Responsibilities
A. Prepare cutsheets including checking stock and quoting retail items for clients.
B. Help with image uploads in Photoshop and accounting software.
C. Assist with updating client spreadsheets used by Purchasing and the Designers.
IV. Resource Library Responsibilities
A. Put away samples/ carts
B. Help the Resource Manager maintain the library organization.
C. Update information of reps, vendors, and furniture contacts in proper software systems.
V. Loft 44 / Retail Website Responsibilities
A. Update accounting software with items and images to sync with the Loft 44 and Retail websites.
B. Assist with Loft 44 order processing, packing, and shipping sales from the website.
VI. Administrative Responsibilities
A. Assist with answering the phones when needed as a backup to the main admin positions.
B. Assist designers with documents, including Excel and PowerPoint.
VII. Assist the Purchasing Manager and the Purchasing Coordinator with any other duties requested
Requirements:
· A college graduate in an administration or purchasing -related field, or someone with at least 3 years of relevant experience.
· Strong verbal and written communication skills
· A can-do attitude and service-minded philosophy.
· Extremely organized and detail-focused.
· Knowledgeable about Microsoft Office programs and possesses a basic understanding of purchasing principles.
· Plus: Knowledge of accounting software, experience, or interest in the design industry.
