Job Summary
Veterinary Rehabilitation Services of VA in Fredericksburg is seeking a part time receptionist/administrative assistant. This team member plays a critical role in supporting the daily operations of the practice by managing client communications, maintaining accurate records, and ensuring a seamless client and patient experience. This position requires attention to detail, professionalism, and the ability to work both independently and collaboratively with the veterinary team.
Essential Duties and Responsibilities
- Maintain a clean, organized, and professional reception area.
- Answer phone calls and emails promptly (within 24 hours during business days).
- Assist clients with scheduling, consultation inquiries, and general questions.
- Refer medical-specific inquiries to the appropriate care provider.
- Ensure patient records are complete, accurate, and up to date.
- Check in and check out patients, schedule follow-ups, and process charges accurately.
- Collaborate with rehab providers and assistants to ensure accurate scheduling.
- Provide timely updates to referring veterinarians.
- Follow up with clients regarding missed appointments and outstanding invoices.
- Process transactions, including insurance claims.
- Assist with inventory management for products and educational materials.
- Provide constructive feedback to support continuous improvement of processes.
- Complete the opening and closing procedure for each shift.
- Guide patients and owners into their exam rooms, and provide basic assistance during acupuncture/chiropractic appointments.
- Enter acupuncture and chiropractic notes into Neo.
- Update employee scheduling in HomeBase.
- Make adjustments to employees HomeBase timesheets every Friday by 5pm.
- Share Time Off requests with the Practice Owner and once approved, add to Google Calendar.
- Add products into Neo as requested by Lead Rehab Assistants and Providers.
- Manage software updates for CardPointe, Trupanion, Care Credit, IDEXX Neo, ect.
Qualifications and Requirements
- Veterinary medicine experience preferred.
- Ability to lift up to 50 pounds.
- Excellent written and verbal communication skills.
- Strong attention to detail and organizational skills.
- Ability to manage multiple tasks effectively.
- Ability to work independently and as part of a team.
Pay: $16.00 - $18.00 per hour
