NATURE OF WORK:
The Director of Supply and Logistics is a key leadership role responsible for oversight and coordination of the Logistics Division and the Emblem and Supply Division (The VFW Store) at the VFW National Headquarters. This position ensures effective operational support to all VFW departments and the timely dissemination of program information. The director will supervise multiple teams and play a critical role in the procurement, inventory management, and distribution of products and materials related to the VFW’s mission, as well as oversee product licensing and legal matters concerning VFW copyrights and trademarks.
TYPICAL DUTIES AND RESPONSIBILITIES:
Logistics Division Management:
Administer, direct, and coordinate the activities of functions within Logistics Services. Manage a team of 5 employees within this division to include the following functions:

- Printing
- Oversee the planning, production, and quality assurance of in-house and outsourced printing operations.
- Ensure timely completion of print jobs and alignment with organizational branding guidelines.
- Addressing & Mailing
- Manage the preparation and addressing of outbound mail.
- Develop and implement procedures for accurate and efficient processing.
- Mail Room
- Supervise internal and external mail distribution systems.
- Ensure timely delivery of incoming and outgoing correspondence.
- Shipping & Receiving
- Oversee the receipt, inspection, and distribution of incoming goods.
- Manage the shipping process for outgoing materials, ensuring accuracy and compliance with shipping standards for USPS, UPS, FEDEX, and LTL freight.

- Recommend technology upgrades or process improvements to enhance division performance.
Emblem and Supply Division Management:
Administer, direct, and coordinate all functional activities within the Emblem and Supply division. Coordinate the efforts of 13 personnel within this division to include the following:

- Identify new products, source, and negotiate with vendors to procure quality products at competitive prices.
- Monitor market trends to introduce new merchandise and improve the product line.
- Inventory management
- Conduct regular inventory audits to minimize shrinkage and ensure data integrity.
- Forecast inventory needs based on sales trends and upcoming events to avoid overstock or shortages.

- Oversee the receipt, inspection, and storage of all incoming merchandise.
- Ensure warehouse operations are efficient, organized, and compliant with safety standards.
- Manage warehousing technology and tools to optimize space and accessibility.
- Marketing and order processing
- Collaborate with the marketing team to promote products through various channels.
- Oversee the processing of online and offline orders, ensuring accuracy and timeliness of delivery.
- Develop and implement strategies to enhance sales and customer engagement.
- Customer service
- Collaborate with the Member Services to ensure prompt and professional resolution of inquiries or issues.
- Implement feedback mechanisms to continuously improve customer satisfaction.
- Ensure the Member Services provides exceptional service across all customer touchpoints.
- Offsite event booths and merchandise sales
- Plan, coordinate, and manage event booths for merchandise sales at conferences, state conventions, and other offsite events.
- Supervise logistics for transporting merchandise and setting up displays.
- Ensure positive brand representation and effective sales strategies during events.
- Receiving and warehousing
Supply and Logistics Department Oversight:
- Product Licensing and Legal Matters:
- Manage and oversee product licensing agreements related to VFW trademarks and copyrighted materials.
- Collaborate with legal teams to ensure all product offerings comply with VFW’s intellectual property rights.
- Operational Efficiency & Continuous Improvement:
- Drive continuous process improvements in Supply & Logistics to optimize performance, reduce costs, and enhance service delivery.
- Analyze data and trends to forecast inventory needs and streamline procurement practices.
- Cross-Departmental Collaboration:
- Collaborate with various departments within the VFW to align logistics and supply operations with organizational goals.
- Serve as a liaison between Supply & Logistics and other internal stakeholders to support integrated organizational objectives.
- Budget and Financial Management:
- Develop and manage the annual budget for both Logistics Division and Emblem and Supply Division.
- Monitor expenditures, ensure cost-effective practices, and manage vendor relationships.
- Staff Development and Leadership:
- Supervise, mentor, and manage a staff of 18–20 full-time and temporary employees.
- Provide leadership, training, and development opportunities to the teams within both divisions.
- Foster a positive, collaborative, and productive work environment that aligns with the VFW’s mission and values.
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:
- Bachelor’s degree in business administration, Organizational Leadership, supply chain management, logistics, or a related field. In lieu of a bachelor’s degree, 7 or more years military experience in a similar military occupational specialty (MOS) has preference.
- Minimum of 7–10 years of experience in supply chain management, logistics, or operations management, with at least 3 years in a leadership role.
- Strong knowledge of procurement, inventory management, distribution, and licensing.
- Excellent leadership, team management, and communication skills.
- Proven ability to manage budgets, improve processes, and drive operational efficiency.
- Familiarity with legal aspects of product licensing, copyrights, and trademarks is a plus.
- Experience working with non-profit organizations or military/veteran service organizations preferred.
SCOPE OF POSITION:
- Position is FLSA exempt.
- Lead and oversee the Supply & Logistics Department at the VFW National Headquarters, ensuring effective operational support for all VFW departments and alignment with organizational objectives.
- Manage diverse logistics and supply chain operations, including procurement, inventory management, product licensing, and distribution, while ensuring compliance with intellectual property standards.
- Supervise a team of 18–20 employees across two departments, fostering a collaborative and efficient work environment.
- Report directly to the Quartermaster General and make decisions with minimal supervision that influence organizational efficiency and financial outcomes.
WORKING CONDITIONS:
This position is based at the VFW National Headquarters and requires the ability to manage a fast-paced, dynamic environment while balancing multiple priorities. Some travel may be required.
MAJOR ACCOUNTABILITIES
