VetCheck Pet Urgent Care Center is looking for an experienced Veterinary Practice Manager to join our growing urgent care family.

The Role

The Practice Manager is responsible for the day-to-day operations of the hospital, including team leadership, staffing, payroll, inventory, facility management, client experience, and maintaining VetCheck's standards of patient care and workplace culture.

This position works closely with the Practice Owner, HR Director, veterinarians, and support staff to ensure the hospital operates efficiently and our team has the resources and support needed to succeed.

Leadership & Team Management

  • Promote a positive, client-centered and patient-centered environment while ensuring patients receive the highest standard of care.
  • Lead, motivate, and support hospital staff while maintaining VetCheck's culture and core values.
  • Foster a cooperative working environment and promote teamwork among veterinarians and support staff.
  • Resolve scheduling conflicts and ensure shifts are appropriately staffed for the safety and well-being of patients and employees.
  • Schedule and coordinate regular performance reviews for support staff.
  • Document employee performance, coaching conversations, recognition, and corrective actions appropriately.
  • Partner with the HR Director regarding corrective actions, performance improvement plans, employee concerns, and other personnel matters.
  • Maintain accurate personnel records for W-2 employees and independent contractors, including records for current and separated employees.
  • Schedule and facilitate mandatory staff meetings, training sessions, and hospital updates.
  • Communicate hospital goals and expectations clearly while helping maintain strong team morale.

Payroll & Scheduling

  • Utilize Pulse and When I Work to monitor employee timekeeping, attendance, absences, and tardiness.
  • Process semi-monthly payroll through ADP, ensuring hours, earnings, deductions, and benefits are calculated accurately.
  • Review staffing needs and proactively address scheduling gaps.
  • Work with the Practice Owner and HR Director to periodically evaluate compensation and benefits to remain competitive within the local veterinary market.

Client & Community Relations

  • Promote an exceptional client experience from arrival through discharge.
  • Facilitate resolutions for client concerns and escalated situations professionally and compassionately.
  • Build and maintain positive relationships with local general practices, specialty hospitals, and emergency hospitals to support continuity of patient care.
  • Represent VetCheck professionally within the veterinary and local community.

Hospital Operations & Inventory

  • Oversee the daily operations, cleanliness, organization, and overall appearance of the hospital.
  • Ensure the lobby, exam rooms, treatment areas, administrative offices, breakroom, and other hospital spaces remain clean, organized, and visually appealing.
  • Develop and maintain a schedule for routine hospital and equipment maintenance.
  • Coordinate vendors and supervise maintenance activities to ensure hospital equipment and facilities meet operational and medical standards.
  • Manage hospital inventory and maintain appropriate stock levels of medications, catheters, syringes, needles, testing supplies, prescription bottles, and other medical supplies.
  • Communicate with pharmaceutical, laboratory, equipment, and product representatives regarding inventory, equipment maintenance, staff training, and educational opportunities.
  • Identify opportunities to improve hospital efficiency, workflow, and patient care.

Safety & Compliance

  • Serve as the hospital's OSHA Safety Officer.
  • Implement and maintain applicable safety and security policies.
  • Coordinate required safety training for hospital staff.
  • Promote compliance with hospital policies, veterinary regulations, and workplace safety standards.

What We're Looking For

The ideal candidate is an experienced veterinary professional who is comfortable leading a team in a fast-paced environment. You should be organized, approachable, solutions-oriented, and confident handling both people and operational responsibilities.

  • Previous veterinary experience
  • Strong customer service and client communication experience
  • Leadership or veterinary management experience
  • Ability to work in a fast-paced urgent care environment
  • Strong organizational and problem-solving skills
  • Ability to effectively lead, coach, and hold team members accountable
  • Reliable transportation and ability to commute to Bloomington, Indiana

Previous veterinary practice management experience is strongly preferred.

Our urgent care model allows you to experience the fast pace and variety of emergency veterinary medicine without working overnight shifts.

Weekend availability is required, with alternating weekend shifts based on hospital scheduling needs.
