Job Summary
We are seeking a detail-oriented, dependable, and proactive Multi-Property HR & Payroll Specialist to support the Human Resources and Payroll functions for three hotel properties in the Vestal area.
This position will play an important role in ensuring accurate and timely payroll processing, maintaining employee records, supporting hiring and onboarding, administering employee benefits and leave, and helping management maintain compliance with applicable employment and labor laws.
The ideal candidate is someone who takes ownership of their work, has excellent attention to detail, can maintain confidentiality, and is comfortable working independently while supporting employees and management across multiple properties.
Hotel or hospitality experience is preferred, but candidates with strong HR and payroll experience in other industries are encouraged to apply.
ResponsibilitiesPayroll
- Manage and process payroll for all three hotel properties accurately and on schedule.
- Review employee timecards, schedules, overtime, PTO, sick time, and attendance records prior to payroll submission.
- Identify and resolve payroll discrepancies and timekeeping issues.
- Enter and maintain employee payroll information, including new hires, pay rates, deductions, direct deposits, promotions, transfers, and terminations.
- Maintain accurate payroll records and documentation.
- Respond to employee questions regarding paychecks, deductions, timecards, PTO, sick time, and other payroll-related matters.
- Prepare payroll reports and provide payroll information to management as needed.
- Reconcile payroll information and assist with identifying discrepancies between payroll records and accounting records.
- Assist with payroll-related accounting functions, including payroll reconciliations, journal entries, and other reporting as needed.
- Assist with payroll tax filings and ensure required payroll information is submitted accurately and on time.
- Assist with payroll audits and provide requested payroll documentation.
- Maintain strict confidentiality regarding employee compensation and payroll information.
Human Resources
- Maintain accurate and confidential employee personnel files for all three properties.
- Coordinate the new-hire onboarding process and ensure all required employment documentation is completed.
- Process and maintain I-9s, W-4s, direct deposit forms, employee acknowledgments, and other required documentation.
- Assist with recruiting, job postings, interviewing, hiring, and onboarding.
- Process employee status changes, promotions, transfers, pay increases, and terminations.
- Track employee attendance, PTO, sick leave, and other applicable leave.
- Serve as a primary point of contact for employees regarding HR policies, benefits, payroll, timekeeping, and general HR questions.
- Assist managers with employee relations, attendance concerns, performance issues, disciplinary documentation, and employee terminations.
- Assist with benefits administration and communicate benefit information to employees.
- Assist with workers' compensation claims, unemployment claims, and other employment-related matters.
- Maintain required HR records and documentation.
- Assist management with maintaining compliance with federal, New York State, and local employment and labor requirements.
- Stay informed of changes to New York State labor laws, wage requirements, leave requirements, and other regulations affecting employees and payroll.
- Assist with maintaining and updating employee policies, procedures, and the employee handbook.
- Ensure required workplace postings and HR documentation are maintained and current.
Multi-Property Support
- Provide HR and payroll support to employees and management across three hotel properties.
- Work closely with General Managers, department managers, and supervisors to address staffing, payroll, attendance, and employee-related matters.
- Maintain consistent HR and payroll practices across all three properties.
- Prepare HR, payroll, staffing, and employee reports for management as requested.
- Assist management with HR-related projects and initiatives.
- Help identify opportunities to improve payroll and HR processes and make recommendations for greater efficiency and accuracy.
- Maintain organized and accurate records across all properties.
- Manage multiple priorities and deadlines while ensuring payroll is completed accurately and on time.
- Perform other HR, payroll, and administrative duties as assigned.
Qualifications
- Previous experience in payroll, human resources, or a combination of both preferred.
- Previous hotel or hospitality experience is a plus.
- Experience processing payroll for multiple departments, locations, or properties is preferred.
- Strong understanding of payroll procedures and employee timekeeping.
- Familiarity with federal and New York State employment and labor requirements.
- Experience with payroll, HRIS, timekeeping, or accounting software.
- Strong computer skills, including Microsoft Excel and other Microsoft Office applications.
- Excellent attention to detail and organizational skills.
- Strong written and verbal communication skills.
- Ability to handle confidential employee and payroll information with discretion.
- Ability to work independently and take ownership of assigned responsibilities.
- Ability to prioritize multiple tasks and meet strict payroll deadlines.
- Strong problem-solving and analytical skills.
- Professional and approachable demeanor when working with employees and management.
Preferred Experience
Experience with one or more of the following is a plus:

- Workday
- UKG/Kronos
- UltiPro
- HRIS and time & attendance systems
- Microsoft Office Applications
Experience with a specific payroll or HR system is not required if the candidate has strong payroll and HR experience and demonstrates the ability to learn new systems.
What We're Looking For
We're looking for someone who can take ownership of the HR and payroll function rather than simply perform data entry.
This person should be comfortable identifying a problem, researching the issue, communicating with the appropriate manager or employee, and following the issue through to resolution.
Because this position supports three hotel properties, organization, accuracy, confidentiality, and communication are extremely important.
The successful candidate will be someone employees feel comfortable approaching with questions while also being someone management can rely on to keep payroll and HR records accurate, organized, and compliant.
