The Area Manager oversees the day-to-day operations of their home property and assigned properties. This role places a maximum emphasis on operations, environmental health and safety, team development, and resident satisfaction in alignment with corporate objectives.
- Review and log payroll, daily deposit logs, reports, vouchers, and other agency reports prior to submission.
- Review monthly HAP preview reports before the end of business on the 8th of each month; make necessary corrections to ensure accurate and timely processing.
- Monitor all property expenses in strict accordance with the operating budget; assist in budget preparation by controlling expenses and maximizing income.
- Complete all financial records and corporate required reports accurately and on time.
- Manage the timely collection of resident rent and subsidy receivables; collaborate with site teams to handle delinquencies, late notices, and legal actions when necessary.
- Maintain thorough, up-to-date knowledge of HUD/LIHTC certifications and compliance, vendor contracting, preventative maintenance, energy management, security, and workers' compensation.
- Conduct random spot checks of resident files, new leases, renewals, recertifications, and move-outs to guarantee total compliance and accuracy.
- Ensure accurate, real-time records of all property transactions (delinquency reports, move-ins/move-outs, etc.).
- Function as a hands-on team leader, fostering positive relationships between residents, maintenance, leasing, office staff, vendors, and the public.
- Provide clear direction, supervision, and guidance to the regional Property Managers and Maintenance Supervisors.
- Facilitate weekly meetings with individual Property Managers as well as full team meetings to communicate corporate initiatives.
- Identify training needs for on-site staff and implement development plans.
- Ensure continuous inspections of common areas, building systems, building exteriors, and grounds, correcting deficiencies per Vesta policy.
- Physically walk the sites and common areas a minimum of three times per week (or as required by the Vice President of Property Management).
- Conduct or assist maintenance teams with annual apartment inspections.
- In conjunction with Property Managers, review service contracts (landscaping, snow removal, exterminators, etc.) and audit vendor work for proper completion before approving invoices.
- Train and instruct site teams on emergency response protocols (criminal activity, fires, floods, freezes, injuries) in accordance with Vesta’s SOP to minimize liability.
- Identify opportunities to expand marketing, traffic, and community outreach.
- Monitor occupancy and hold property staff accountable for balancing optimal rent collection with strong occupancy metrics.
- Address resident concerns patiently and professionally to ensure high satisfaction; monitor community retention activities, newsletters, and urgent property communications.
- Experience: Minimum of five (5) years of related property management experience, with a proven track record in a supervisory or regional leadership capacity.
- Education: High School diploma or GED required; Associate’s degree preferred.
- Language: Bilingual proficiency in English and Spanish is strongly preferred.
- Software: Proficiency in Microsoft Office Suite (Word, Excel) is required; hands-on experience with property management software, specifically Yardi, is highly preferred.
- Certifications: Industry-related designations such as COS (Certified Occupancy Specialist), CPO (Certified Productive Organizer), CAPS (Certified Apartment Portfolio Supervisor), and LIHTC certifications are highly recommended.
- Core Skills: Strong basic math proficiency, excellent organizational and proofreading abilities, sharp attention to detail, and the ability to manage multiple tasks under time-sensitive pressure.
- Valid Driver's License and a clean driving record are required.
- Successful completion of a background check and drug screening required.
