The Facilities Program Coordinator plays a key role in supporting centralized facilities operations by owning the CMMS/work order platform and providing critical administrative, compliance, and financial coordination across the Facilities and Asset Services (FAS) function. This position is based in our Edina, MN office.
What you’ll do
As a Facilities Program Coordinator you will:
- Own and manage the CMMS/work order system, ensuring real-time visibility into maintenance activity, accurate tracking, and effective reporting to drive timely resolution and proactive planning.
- Oversee compliance for licenses, permits, and insurance (property, vehicle, general liability), maintaining centralized records and renewal schedules.
- Track and manage vendor documentation, including contracts and Certificates of Insurance (COIs).
- Support budget oversight, purchase order workflows, and invoice processing across operations and project teams.
- Act as a critical bridge between Operations and Project Management to ensure tools, processes, and data remain aligned.
Experience you need to bring:
- 2 – 3 years work experience as a Facilities Coordinator or similar role
- Strong knowledge of facilities management operations
- Hands on experience with facilities management software is a plus
- BSc in Facility Management or Business Administration is preferred
- Exposure to working closely with facilities managers enhances your ability to handle diverse responsibilities.
