What are the responsibilities and job description for the Project Manager position at Vertical Lighting Controls?
Vertical Lighting Controls is a growing lighting and controls agency built around three things: Service, Solutions, and Success.
We support contractors, distributors, engineers, architects, manufacturers, and end users across commercial construction projects. Our job is to make sure customers get accurate pricing, solid product solutions, clear communication, and reliable support from quote to order.
We are looking for a Project Manager who can help keep projects moving, details organized, and customers supported.
This role is a key part of our project support team. You will work closely with sales, customers, manufacturers, and internal team members to help prepare quotes, process orders, coordinate submittals, track project information, and solve problems before they turn into bigger issues.
- Prepare lighting and controls quotes using project schedules, plans, specifications, and customer requests.
- Work with manufacturers to gather pricing, lead times, product information, and technical documentation.
- Review quote requests and project details for accuracy, including fixture types, quantities, color temperature, voltage, mounting, finishes, controls requirements, and alternates.
- Assist with value engineering options when customers need product substitutions or budget-friendly solutions.
- Send quotes, pricing, and spec sheets to customers and internal sales team members.
- Review purchase orders against quoted scope to catch pricing, quantity, shipping, or product discrepancies.
- Enter and process orders using Oasis.
- Track order acknowledgments, estimated ship dates, freight updates, release holds, and open order status.
- Communicate with customers, vendors, and team members to provide updates and resolve project issues.
- Prepare and coordinate submittal packages when required.
- Keep project information organized and updated so nothing falls through the cracks.
- Help support warehouse needs when necessary, including pulling orders, staging material, loading customer pickups, and unloading deliveries.
This is primarily an office and project support role, but we are a small team. Everyone helps where needed. No one is too important to jump in and help get material out the door.
The right person for this role is organized, responsive, detail-oriented, and able to manage multiple projects at once. You do not need to know everything on day one, but you do need to be willing to learn, ask good questions, and take ownership of your work.
You should be comfortable working in a fast-paced environment where priorities can shift, customers need answers quickly, and accuracy matters.
- Strong attention to detail
- Clear written and verbal communication
- Ability to manage multiple quotes, orders, and deadlines at the same time
- Strong organization and follow-through
- Comfortable using email, PDFs, Microsoft Office, and business software
- Ability to read and understand basic project documents, schedules, and specifications
- Willingness to learn lighting products, controls, manufacturer lines, and internal processes
- Team-first attitude and willingness to help where needed
- Experience in commercial lighting, lighting controls, electrical distribution, construction, or a manufacturer rep agency
- Experience with Oasis or similar quoting/order entry software
- Familiarity with lighting fixture schedules, submittals, value engineering, and order processing
- Experience working with contractors, distributors, manufacturers, or sales teams
Success in this role means customers get accurate information, quotes go out on time, orders are entered cleanly, project details stay organized, and the sales team can trust that project support is being handled.
You will be successful here if you take pride in being dependable, accurate, and responsive. We are not looking for someone who waits to be chased. We are looking for someone who sees what needs to be done and helps move it forward.
