Vertical Builders is a fast-growing residential homebuilder in the greater Richmond, VA area. We are looking for an Admin who will own the critical “paperwork and process” side of our builds—from the moment a home is scheduled to start until it is ready to close.This role blends office administration with hands-on permit coordination. You’ll be the point person for submitting and tracking permits, working with localities and utilities, organizing files, supporting sales, and making sure the right documents get to homeowners, lenders, and closing attorneys at the right time.If you enjoy checklists, timelines, detailed forms, and being the person who keeps everyone organized and on schedule, you’ll fit in well here. You’ll work closely with our Operations, Production, Sales, and Architectural Services teams in a fast-paced, team-oriented environment.Compensation:$50,000 - $60,000 Based on ExperienceResponsibilities:Coordinate all permits for new home starts – prepare applications, gather required documents (plats, septic, well, plans, etc.), submit to each locality, and proactively follow up to ensure permits are approved on schedule.Track approvals, inspections, and Certificates of Occupancy – maintain an up-to-date log of permit statuses, required tests, inspections, and CO requirements so that each home is cleared for closing on time.Serve as a primary contact for municipalities, utilities, and review boards – communicate with county/town offices, ARBs/HOAs, VDH, VDOT, and power companies to obtain approvals, bonds, and releases, and resolve minor issues or questions as they arise.Provide day-to-day office and front-desk support – answer phones, greet visitors, manage incoming/outgoing mail and deliveries, maintain office supplies and common areas, and support leadership with scheduling and basic admin tasks.Create, organize, and maintain project documentation – assemble pre-construction and homeowner binders, scan and file signed documents, keep digital folders organized, and ensure all plans, permits, contracts, and correspondence are easy to find.Assist with homeowner, lender, and closing documentation – provide banks and closing attorneys with permit records, COs, warranties, and other required documents; track and deliver keys and final paperwork needed for closing.Maintain accurate data and support basic accounting tasks – input and update information in company systems (permits, vendors, jobs, listings), route and verify invoices related to permits/utilities, and coordinate with the office team to keep records clean and current.Continuously improve processes – help refine checklists, templates, and workflows for permits and admin, flag bottlenecks or recurring issues, and contribute ideas that make the permitting and documentation process smoother for the entire team.Qualifications:Strong organizational skills with the ability to manage multiple permits, tasks, and deadlines at once.Excellent attention to detail and accuracy in forms, data entry, and document preparation.Clear, professional verbal and written communication skills; comfortable interacting with municipalities, utility companies, vendors, homeowners, and internal team members.Ability to work independently, prioritize work, and follow through without constant supervision while still being a strong team player.Comfortable learning and using software systems (Microsoft Office required; database/ERP or construction software experience is a plus).Familiarity with construction, homebuilding, real estate, or permitting is preferred but not required; we are willing to train the right organized, detail-oriented person.Positive, solutions-oriented attitude and willingness to jump in and help wherever needed in a small, busy office.About CompanyVertical Builders is a Richmond-area growing home builder delivering high-quality homes across Central Virginia communities (Powhatan, Goochland, Louisa, and more).
