The Senior Lifecycle and HubSpot Marketing Manager will play a critical role in advancing Vertex Education’s mission of changing lives through education by ensuring seamless, data-driven communication across the entire customer journey—from the first lead to enrollment. This role owns and optimizes Vertex’s HubSpot CRM, overseeing all email and SMS campaigns, workflows, and integrations that connect prospective families with our schools. Working closely with the Marketing, Product, and Legacy Traditional Schools teams, this individual ensures that every touchpoint reflects our brand, supports family engagement, and drives enrollment outcomes. The Senior Manager will also lead the organization’s adoption of HubSpot’s AI capabilities—using automation, predictive analytics, and content-generation tools to increase marketing efficiency and effectiveness while maintaining the integrity and accuracy of all HubSpot data. Essential Functions: 1. Lifecycle Communication Management: Own and execute all customer communications from initial lead to application to enrollment — using HubSpot and the Avela application platform. Partner closely with the Product and Legacy Traditional Schools teams to ensure consistent, seamless messaging and communications across the entire customer journey – from lead to application to enrollment and re-enrollment. Develop, deploy, and optimize email and SMS campaigns and drip marketing workflows that drive applications. Collaborate with copywriting and design partners to deliver creative assets and messaging that reflect brand standards and objectives. 2. HubSpot Administration and Optimization: Serve as the primary administrator for HubSpot CRM, responsible for configuration, user access, and maintaining data integrity. Manage the HubSpot relationship and hold regular meetings with our representative to optimize our HubSpot instance. Build, manage, and refine workflows, lead forms, automations, and integrations across HubSpot, Avela, and related systems. Monitor data quality and implement processes to reduce or eliminate duplicate contacts and inaccurate records. Manage all integrations within HubSpot including Avela, Eventbrite, and paid media (Meta, Google, etc.). Partner with the BI team to develop dashboards and reporting that provide insights into lead conversion, application performance, and data health. 3. Lead Management and Application Conversions: Manage all HubSpot lead capture tools and ensure seamless integration with marketing websites and application systems. Collaborate with the Product team to enhance UX/UI for lead generation and application conversion pages. Implement and maintain lead segmentation and scoring models that drive timely, targeted communications. Analyze and improve lead-to-application and application-to-enrollment conversion rates through performance tracking and process refinement. 4. HubSpot AI Enablement: Drive the aggressive adoption and optimization of HubSpot AI tools to enhance marketing performance and efficiency. Use HubSpot’s AI content creation features to assist with campaign copy, workflows, and automated communications. Implement predictive analytics and AI-driven automation to optimize lead nurturing, targeting, and conversion. Stay current on HubSpot AI developments and proactively recommend new use cases and features to advance marketing effectiveness. 5. Internal Support and Cross-Functional Training: Act as the organization’s HubSpot subject matter expert, ensuring best practices are consistently applied across teams. Provide periodic training and support to internal users on new HubSpot features, AI tools, and workflow updates. Collaborate across Marketing, Product, and Schools teams to align CRM processes with operational goals and lifecycle communication needs. Manage the Vertex–HubSpot vendor relationship and ensure maximum utilization of the platform’s capabilities. Required Qualifications: Education: Bachelor’s degree in Marketing, Communications, Business, Information Systems, or a related field. Experience: Minimum of 5 years of experience managing marketing automation platforms, with at least 3 years of direct, hands-on experience in HubSpot CRM administration and campaign management. Technical Expertise: Demonstrated proficiency in building workflows, managing integrations, maintaining data hygiene, and using reporting tools within HubSpot. Data & Analytics: Hands-on experience using data visualization tools such as Looker Studio or Tableau to create dashboards, analyze performance data, and communicate marketing insights. Lifecycle Marketing Experience: Proven success in managing end-to-end customer communication across the full lifecycle (lead through enrollment). Collaboration Skills: Experience working cross-functionally with marketing, product, and operations teams in a fast-paced environment.
