Surgery Scheduler – Full Time
Location: Denver, Colorado
Schedule: Monday–Friday, 8am-5pm

About Us
We are a busy ENT and Facial Plastic Surgery practice committed to delivering high-quality patient care and excellent communication throughout the surgical process. We are seeking a highly organized, proactive Surgery Scheduler to join our team and support all surgical coordination functions.
Position Summary
The Surgery Scheduler is responsible for managing surgical and procedural scheduling, coordinating clinical and administrative tasks to ensure seamless patient experiences, and maintaining strong communication with patients, the surgeon, and clinical staff. This role requires meticulous attention to detail, excellent communication skills, and the ability to complete all tasks in a timely manner.
Key Responsibilities
Surgical Scheduling & Coordination
- Schedule surgical procedures and office-based procedures with accuracy and efficiency, ensuring all block time is filled.
- Schedule pre-operative clearance and post-operative appointments.
- Follow up on scheduling sheets and contact patients within one week of receipt.
Pre-Op Preparation
- Prepare and distribute pre-op packets to patients and surgeon.
- Preauthorize surgeries and office procedures with insurance prior to scheduling.
Patient Financial Coordination
- Discuss fee estimates with patients clearly and professionally.
- Collect cosmetic procedure fees at least 14 days prior to surgery.
Patient Communication
- Return patient calls same day or within 24 hours.
- Provide excellent patient communication and education about surgical expectations and instructions.
Documentation & Record Management
- Obtain completed operative reports and scan into the chart; upload to billing folder.
- Obtain pathology reports for first post-op appointment.
Practice Support
- Communicate with the surgeon regarding patient feedback, scheduling issues, or complaints.
- Complete all administrative and scheduling tasks within 24 hours unless otherwise noted.
Required Qualifications
- Previous experience in surgery scheduling; ENT and/or facial plastic surgery would be optimal.
- Strong verbal and written communication skills.
- Ability to manage multiple tasks, prioritize effectively, and work independently.
- Proficiency with EMR systems and scheduling software.
- Professional, patient-oriented demeanor with exceptional organizational skills.
